We’re looking for an experienced Personal Assistant to support the Founders of Conductr, ensuring their time, priorities, and operations run seamlessly. This role is built on trust, integrity, and discretion - you’ll be the right hand to two visionary leaders, managing schedules, communications, and key business priorities with complete confidence. About Us: CONDUCTR is a dynamic collective of designers, technologists, media experts, producers & engineers. The vision is simple – fuse the creativity of a design studio, with the innovation of a tech lab, to create a one-stop shop for extraordinary guest-centric, 360 attraction experiences.

Responsibilities:

  • Executive Support
    • Manage complex calendars across multiple time zones, scheduling meetings and ensuring seamless coordination.
    • Act as the gatekeeper for internal and external requests, prioritising and streamlining communications.
    • Prepare agendas, briefings, and key documents for meetings, ensuring Founders are fully prepped.
    • Take meeting minutes, track action points, and follow up to ensure completion.
    • Handle confidential and sensitive information with the highest level of discretion.
  • Operational & Administrative Support
    • Oversee travel arrangements, including flights, accommodation, itineraries, and logistics.
    • Manage expenses, invoices, and financial administration in collaboration with finance.
    • Support event planning, including offsites, key stakeholder meetings, and industry events.
    • Assist with personal administrative tasks to ensure work-life balance for the Founders.
  • Stakeholder & Communication Management
    • Act as the primary point of contact for internal teams, clients, investors, and external partners.
    • Draft and manage emails, correspondence, and presentations on behalf of the Founders.
    • Represent the Founders professionally in meetings and engagements when required.
  • Project & Business Support
    • Support on key projects, ensuring deadlines are met and deliverables are aligned with strategic priorities.
    • Conduct research and compile insights to aid decision-making.
    • Liaise with the wider leadership team to ensure alignment on priorities and business objectives.

You should have:

  • Proven experience as a Personal Assistant, EA, or Chief of Staff to C-suite executives or founders.
  • Exceptional organisational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Proactive problem-solver with a strong ability to anticipate needs and take initiative.
  • High emotional intelligence (EQ) and strong communication skills, able to engage with senior stakeholders.
  • Tech-savvy, with experience using tools like Google Workspace, Slack, Notion, Rippling, and project management platforms.
  • Discretion and trustworthiness, with experience handling confidential information.
  • A background in a high-growth, start-up, or creative/tech-driven environment is a plus.

  • A passion for/experience in Themed Entertainment, Cruise/Hospitality and Immersive Experiences.
