We’re looking for a meticulous, people-focused administrator to support our growing team by maintaining high-quality employee records and helping to deliver smooth, compliant people operations. This role will coordinate systems and processes across the employee lifecycle—from onboarding and offboarding, to payroll data entry, benefits tracking, and contractor support. Rather than processing payroll manually, you'll manage and maintain our HRIS platform (Rippling), ensuring the right information is captured and shared with the right people, at the right time. You’ll be the go-to person for keeping things accurate, up to date, and audit-ready—without needing to be a payroll technician. This is an ideal opportunity for someone early in their HR/People career looking to gain experience in a global, fast-moving environment—with support, structure, and systems at your side.
Responsibilities:
- People & Payroll Records: Maintain accurate employee, contractor, and freelancer data in Rippling. Prepare payroll data for submission via Rippling (UK & US), ensuring updates are timely and complete. Track benefits enrolments, status changes, and employee queries. Respond to general employee queries about systems, time off, or changes in their info.
- Contractor & Freelancer Coordination: Maintain contracts and key records for contractors and freelancers. Track start/end dates, compliance docs, and support basic IR35 tracking (training provided). Ensure all worker types are correctly allocated and tracked in Rippling.
- Employee Lifecycle Admin: Support onboarding logistics, including contracts, checklists, and system access. Support offboarding tasks such as deactivating access and exit paperwork. Assist with interview scheduling, job posting updates, and candidate coordination.
- HR System & Process Support: Be our internal “Rippling Champion”—keeping data clean and helping others use it well. Generate reports for People and Finance teams as needed. Help us prepare for internal audits by keeping digital records clean and accessible.
You should have:
- Previous experience in admin, HR, operations, payroll support, or similar.
- A love for detail and structure—accuracy is your happy place.
- Comfortable using systems and learning new tools (Rippling or similar platforms a plus).
- Organised, responsive, and comfortable juggling people, processes, and tasks.
- Proactive communicator—clear, professional, and kind.
It would be great if you have:
- Experience working in a high-growth or international team.
- Familiarity with UK or US HR/payroll environments (not essential — training provided).
- Confidence using platforms like Rippling, BambooHR, Gusto, or similar.
