We’re on the lookout for a detail-obsessed, deadline-driven Bids & Proposals Assistant to help turn big ideas into polished, submission-ready bids for world-class immersive projects. You don’t need extensive bids experience; we care far more about mindset, organisation and a strong eye for detail.
About us: CONDUCTR is a dynamic collective of designers, technologists, media experts, producers & engineers. The vision is simple - fuse the creativity of a design studio, with the innovation of a tech lab, to create a one-stop shop for extraordinary guest-centric, 360 attraction experiences.
Key Responsibilities:
- Support the preparation and coordination of RFPs, tenders and proposals from initial review through to submission.
- Help draft and format proposal documents, pulling together content from creative, technical and commercial teams.
- Track deadlines and submission requirements to ensure nothing is missed.
- Assist with proposal budgets and timelines, helping to organise cost information and documentation.
- Maintain bid documentation, templates, rate cards and internal cost databases.
- Ensure submissions meet client requirements and formatting standards.
- Support contract and compliance checks by organising documents for senior review.
- Upload and manage submissions via client portals such as Ariba, Aconex or similar platforms.
- Help refine templates and improve internal proposal processes over time.
- Act as a central coordination point when multiple teams are contributing to a submission.
You should have:
- Strong organisational skills and the ability to manage multiple tasks at once.
- Advanced Microsoft Office skills, particularly Word and Excel, with confidence handling large, structured documents and spreadsheets.
- A strong written communication style and the ability to present information clearly and professionally.
- A sharp commercial mindset with confidence working with numbers and basic calculations.
- Confidence working with large documents and structured information.
- An exceptional eye for detail and a perfectionist approach to formatting, accuracy and quality.
- Comfort working to tight deadlines and managing multiple priorities at once.
- A collaborative mindset and willingness to chase inputs when needed.
