We are looking for an organised, confident, and welcoming Receptionist to ensure the smooth running of our front desk. In this role, you will help create a positive first impression for everyone who walks through our doors - from visitors and clients to our own teams. You will keep reception running seamlessly and make sure our security procedures are followed at all times, working a shift pattern between 08:00 and 18:00.
Reporting to the Facilities Manager, you will work alongside a second receptionist to deliver exceptional service, maintain an organised front-of-house, and embody the professionalism and creativity that define Condé Nast.
What will you be doing?
- Greet all visitors and staff to Condé Nast warmly and efficiently
- Answer the main switchboard telephone line – directing callers to the most appropriate person, taking concise messages and responding in a smooth and professional manner
- Manage Office Space booking system
- Add new staff to designated areas
- Book desks for any non-UK/visiting staff
- Manage meeting room bookings
- Authorise Google Calendar meeting room bookings
- Check with the day cleaners and give instructions for the cleaning of rooms between meetings (where possible)
- Assisting with event bookings and setting up (where possible)
- Ensuring the reception area is kept clean, tidy and in a good state of repair
- Ensuring the breakout areas are always kept to a high standard
- Delivery of magazines to the executives
- Stock check of stationery hubs
- Stock check of consumables (tea/coffee) and milk deliveries
- Ordering of stationery, milk and consumables
- Distribution of fruit to the cafe area
- Cover for the Facilities Manager when on annual leave or out of the office
- Fire Marshal
- Switchboard responsibilities
- Management access control and access card creation. Updating the card and starters/leavers spreadsheets
About You:
- Previous Front of House or Receptionist experience
- A friendly, approachable, and professional manner with a genuine passion for delivering excellent service
- Strong communication skills, both written and verbal, with confidence using Google Suite and other office software
- Reliable and consistently demonstrating attention to detail
- The ability to stay calm and composed under pressure, handling multiple priorities with ease
- Fire Marshal and/or First Aid training is an advantage (training can be provided if required)
- A proactive, hands-on attitude, willing to support the wider team with day-to-day tasks and ad hoc duties
- Comfortable with occasional heavy lifting and manual handling as part of maintaining a smooth front-of-house operation
