  • We are looking for a Personal Assistant to support three
  • Finance
  • Vice

Presidents: the Global Controller, Corporate FP&A and Enabling Functions & Procurement.

You will be responsible for providing professional pro‑active and confidential support on a day-to-day basis.

Liaising with internal and external stakeholders you will become a key member of the Finance & Operations team.

The ideal candidate will have extensive experience of providing administrative support at a director/senior level.

You will be able to act autonomously and use your initiative to prioritise workload with ever changing needs.

Exceptional organisational skills and a keen eye for detail are a must, along with a can‑do attitude, willingness to learn and calm/level headed manner.

Key Responsibilities

  • Manage complex diaries for three Finance VP's, coordinating internal and external meetings across multiple time zones and managing changing priorities.
  • Act as a professional and trusted first point of contact, confidently handling queries, requests and day‑to‑day matters on their behalf.
  • Coordinate meetings and events, including room bookings, video conferencing / IT requirements, catering, agendas, pre‑reads, minutes and action tracking.
  • Manage travel arrangements, including flights, hotels, ground transport, visas, itineraries and associated logistics.
  • Prepare and coordinate presentations, reports, meeting materials and other documents for Finance leadership meetings, steering committees, working groups and business reviews.
  • Manage corporate card expenditure, expense claims and related financial administration for the supported executives.
  • Support the Finance leadership team with ad hoc analysis, reporting, presentations, projects and other administrative requirements.
  • Support senior Finance leadership activity, including coordination with the CFO and Executive Leadership Team when required.
  • Support onboarding and off boarding of Finance team members, including equipment, system access, introductory meetings and other administrative arrangements.
  • Assist with the organisation of Finance team meetings, town halls, events and wider engagement activities.
  • Support the planning and organisation of Finance team social events, off sites, team lunches, celebrations and other engagement activities, coordinating logistics and communications as required.
  • Provide proactive administrative and coordination support to the wider Global Finance team, helping to ensure effective communication, organisation and follow-through across Finance functions.
  • Build and maintain strong relationships with PAs, TAs and executive support colleagues across Condé Nast, ensuring effective coordination and cover where appropriate.

Experience & Skills

  • Significant experience in a similar Executive Assistant, Personal Assistant or senior administrative support role, ideally supporting multiple senior executives.
  • Exceptional organisational and time‑management skills, with the ability to prioritise effectively and manage multiple competing demands.
  • Highly proactive, self‑motivated and able to work autonomously, anticipate requirements and take ownership without needing close supervision.
  • Excellent written and verbal communication skills, including strong drafting, proofreading and presentation skills.
  • Advanced proficiency in Google Workspace, including Google Calendar, Docs, Sheets and Slides.
  • Experience managing complex international travel, including visas and multi‑location itineraries.
  • Friendly, personable and collaborative, with a willingness to support colleagues and contribute positively to the wider Finance team.
