The Role

We are looking for an Export Sales Administrator to effectively manage customer accounts by ensuring orders are processed within agreed timeframes and all export documentation is completed accurately. This role plays a key part in maintaining a high-quality service to international customers.

You will support International Sales Managers, act as a key point of contact for customers, and ensure all interactions are recorded accurately within company systems.

Key Responsibilities

  • Process customer orders using computerised systems (currently SYSPRO), including order entry, inventory checks, debits, and credits.
  • Act as the main point of contact for customers, International Sales Managers, and transport providers to ensure clear and timely communication.
  • Manage orders from receipt through to dispatch, including export documentation, invoicing, and organising collections where required.
  • Ensure full compliance with export regulations and country-specific customs requirements, liaising with external bodies when necessary.
  • Work closely with internal departments regarding manufacturing, assembly, and despatch queries.
  • Support responses to customer enquiries relating to stock availability, pricing, discounts, and basic technical queries.
  • Maintain accurate records of all shipment documentation, including customer orders, manifests, and collection notes.
  • Update despatch dates on SYSPRO and proactively notify customers of any changes.
  • Follow company procedures for all administrative tasks.
  • Undertake any other reasonable duties as requested by your manager.
  • Act in accordance with health and safety policies, taking reasonable care of your own safety and that of others.

  • Previous experience in export commercial documentation.
  • Experience dealing with international customers.
  • Good level of English and Mathematics.
  • Computer literate, with intermediate or higher skills in Microsoft Word and Excel.
  • Professional and confident telephone manner.
  • Strong customer service skills and ability to build rapport.
  • Able to work effectively both independently and as part of a team.
  • Strong time management skills with the ability to prioritise workload.
  • High attention to detail.
  • Willing to share ideas and contribute to continuous improvement.
