Overview
An exciting opportunity has arisen to join the Executive Assistant for Group Managed Services, supporting the Managing Director, as well as two Directors. The ideal candidate will be highly organised, have great attention to detail, work well under pressure and to tight deadlines. They will be required to build effective relationships with key stakeholders at all levels in the organisation, and create a strong network with other PAs and supporting functions. They will need to demonstrate a high level of confidentiality due to the nature of the role and the application of discretion is a must.
Responsibilities
- Diary Management: manage diaries of Directors independently; assist the EA with scheduling meetings, including room bookings, catering, organising off-site meetings, assisting with organising larger meetings, and liaising with the travel company to source suitable venues
- National and International travel arrangements: booking flights, trains and taxis; hotel bookings
- Managing Expenses: completing and submitting Manager\\\'s expenses via KDS
- Approvals: monitor and action all approval systems, finding out additional information when required
- General administration tasks: manage distribution lists; update and maintain ONE CC (Internal portal); maintaining Org Charts; ad-hoc tasks as required
- Excellent communication skills, both verbal and written
- Pro-active; able to work independently
