As Logistics Coordinator, you play a crucial role in the production, commercial and operational aspects of a company. The successful applicant's responsibilities will include ensuring that both wholesale and eCommerce collections are delivered to customers and stockists on time, following their specific requirements and in accordance with brand standards. You will need to be strategic with allocations and methodical with processing orders from pick tickets to packing. Additionally, you will be responsible for managing inventory across all channels — wholesale, eCommerce, and studio — both internally and externally, with the support of your line manager. To succeed in this role, being methodical, organised, a great trouble-shooter and enjoying being busy will be important. The Logistics Coordinator will be working as part of a supportive and hard-working team, offering a great opportunity to learn and grow professionally across multiple logistics areas.
Responsibilities include:
- Process all wholesale, eCommerce, personal, and staff orders using Zedonk, Shopify, and 3PL systems, managing the workflow from Allocations to Pick Ticket to Delivery Note.
- Ensure that all client and customer requirements, along with company standards, are met and that deliveries are completed within designated timeframes.
- Manage and train the warehouse/3PL team on processing wholesale, eCommerce, personal, and staff orders.
- Assist the Wholesale Manager with processing all export documentation and shipping requirements as requested by clients.
- Liaise with clients, customers, and our warehouse regarding orders and shipments; submit invoices; and provide delivery documentation to obtain shipping authorisation and account details.
- Coordinate with couriers and freight forwarders to schedule pickups, track shipments, and resolve delivery delays or disputes.
- Track and analyse shipping and packaging costs to identify cost-saving opportunities.
- Ensure compliance with customs, import/export regulations, and product safety standards for all outgoing international shipments.
- Create barcodes for products in Zedonk seasonally.
- Manage and co-ordinate internal and external inventory to ensure accurate stock levels on Zedonk and Shopify.
- Coordinate seasonal stock takes and resolve any discrepancies.
- Coordinate and process faulty products, stock swaps, re-orders and returns.
- Maintain and assist with keeping budget and shipping trackers up to date.
- Coordinate packaging supplies for order fulfilment and re-orders across all channels.
- Assist with coordinating incoming supplies or props for photoshoots, campaigns, or press events.
- Support customer service with order tracking, delivery issues, and resolution of logistics-related customer queries.
- Be knowledgeable about the brand's seasonal and core collections to support smooth studio and logistics operations.
- Perform ad-hoc tasks as needed to support the smooth and efficient operation of the wider team and studio.
Required experience & skills:
- Experience in a similar logistics role covering wholesale, eCommerce, and inventory coordination.
- Experience working within a contemporary fashion brand.
- Highly organised, able to multitask and work efficiently in a fast-paced environment.
- Capable of working on your own initiative while also contributing as part of a team.
- Strong analytical and problem-solving skills, with an eye for detail and accuracy.
- Advanced Excel skills (pivot tables, VLOOKUPs, macros) are advantageous.
- Strong verbal and written communication skills.
- Experience with Zedonk, 3PL, Microsoft Office, and Shopify.
