Role Overview
Executive Office Assistant in EMEA operations, supporting the Head of the Energy team and cross‑functional teams.
Key Responsibilities
- Diary management and occasional email management for the Head of the Energy team, organisation of travel, process expenses and time entries on projects.
- Coordinate internal and external meetings, welcoming guests and clients to office.
- Occasional support to recruitment team.
- Administrative support for onboarding of new joiners.
- Support vendor invoices, ensuring prompt submission and payment.
- Support billing monthly process for the energy team: case budget updates, open new case matters, client invoices.
- Help Energy team with tenders regarding administrative documents.
- Liaise with internal support teams (HR, marketing, IT).
- Cover holidays and coordinate with other admin members in Paris office.
- Ad hoc administrative tasks – post, printing, binding, archiving.
Qualifications and Experience
- Senior role: minimum 5 years’ experience in similar position.
- Experience with client interactions and understanding of client relationships.
- Experience working in international & multicultural environment.
