ROLE PURPOSE:

The overall purpose of the Sales Coordinator role is to orchestrate the seamless execution of a diverse array of events, ranging from conferences to exhibitions and dinners. This role involves collaborating closely with clients and other members of the Levy team, ensuring exceptional service from initial planning through to successful delivery.

The venue is one of the world\'s premier locations for conferences and events. The Event Manager\'s primary goal is to uphold and enhance Levy\'s reputation by delivering high-quality customer service and maintaining standards.

Key responsibilities include coordinating catering, planning logistics, and meeting all client requirements with precision. Effective communication with clients and stakeholders is essential to ensure events align with client expectations and exceed them.

KEY RESPONSIBILITIES:

  1. Event Strategy & Planning: Oversee all event planning and execution, ensuring alignment with client needs and company standards. Coordinate pre-event communication across departments and manage contractual documents, deposits, and invoices.
  2. Client Management: Act as the main contact for high-profile clients, conducting consultations, meetings, site visits, and tastings to ensure client satisfaction.
  3. Vendor & Supplier Coordination: Negotiate contracts, manage relationships, and collaborate with internal teams to ensure successful event outcomes.
  4. Budget & Financial Oversight: Develop and control budgets, maximize revenue, and provide financial reports post-event.
  5. Event Execution: Manage logistics, ensure timely delivery, and handle last-minute changes to minimize disruptions.
  6. Quality Control & Compliance: Ensure events comply with legal, health, safety, and food standards, and regularly review quality standards.
  7. Innovation & Trendsetting: Stay updated on industry trends and develop creative event concepts to enhance brand reputation.
  8. Client Retention & Business Development: Foster client relationships for repeat business and work with sales and marketing to attract new clients.
  9. Post-Event Evaluation: Conduct evaluations, gather feedback, and use insights to improve future events.

PERSON SPECIFICATION:

  • Minimum 3-5 years in event planning, with experience in high-profile events and managing large budgets.
  • Strong understanding of contract catering, food service, and event logistics.
  • Excellent communication and interpersonal skills, proactive in client management.
  • Creative problem-solving skills and meticulous attention to detail.
  • Flexible to work irregular hours, including evenings and weekends.
