Assistant Practice Manager

Full-Time On-site
C

Location: South London

Hours: Full-time (37.5 hours)

Contract: Permanent

Compass Associates are partnering with a growing two-site GP practice in South London to appoint an experienced Assistant Practice Manager.

This is an excellent opportunity to play a key part in the day-to-day running of a busy two-site practice. We are looking to speak to capable leaders who can combine strong team leadership with sound governance knowledge and a genuine commitment to patient access and experience.

If you are passionate about running high-quality primary care operations and want to develop your management career, we would love to hear from you.

The Role

Key responsibilities will include:

  • Coordinating daily operations, including opening and closing, reception and admin capacity, appointment workflows, handovers and cross-site cover.
  • Holding documented one-to-ones with the Reception Manager, setting priorities and standards, and giving constructive feedback to non-clinical staff.
  • Managing workforce administration, including rotas, leave, sickness, inductions, mandatory training, probation reviews and appraisals.
  • Monitoring phone and online demand, AccuRx workflows and booking processes, and overseeing the administrative side of triage.
  • Overseeing administration quality across registrations, document processing, workflow queues, and prescription and referral administration.
  • Overseeing non-clinical monitoring of QOF, CPMS and Local Commissioned Services, maintaining dashboards and exception reports, and reconciling activity against claims and payments.
  • Working with the Quality Assurance team on complaint investigations, resolutions and learning, and leading delegated improvement projects.
  • Maintaining compliance calendars, risk assessments, audit logs and action trackers to keep the practice inspection-ready for CQC.
  • Coordinating IPC, cleaning, health and safety, fire and legionella evidence, and contractor liaison.
  • Using EMIS Web, AccuRx, Docman and telephony, and supporting IT issues and access requests. This is an area where the practice particularly wants to add strength.
  • Providing on-site management cover during absences, within agreed limits.

About You

The opportunity would suit an experienced GP practice administrator or reception/practice manager ready to step into an assistant management role, or an existing assistant manager looking for a larger, multi-site position.

To be considered, you will have:

  • Substantial GP practice or NHS primary care administration experience.
  • Experience supervising teams, workflows and rotas, including managing a team lead or Reception Manager.
  • A solid understanding of patient access, confidentiality, safety escalation and delegation boundaries.
  • Governance knowledge, including policies and CQC.
  • Confident IT skills, with Microsoft 365 and clinical admin systems.

Location

This is a full-time position based across two sites in South London.

Salary & Benefits

  • 28 days annual leave.
  • Additional training to further your career (paid for).
  • Flexible hours.
  • Quarterly team incentives.
  • In-house challenges with gift card prizes.
