The Vehicle Fleet Management Specialist is a key member of the corporate support team. The Vehicle Fleet Management Specialist will work closely with the Maintenance and Procurement team to ensure the effective management, control, assignment and utilization of all fleet and heavy equipment assets across the Athens Network from Creation to Disposal.
Job Description- Manage Monthly & Annual DMV, Motor Carrier Permit & FMCSA renewals, including vehicle registrations, SMOG/CARB check management & vehicle titling.
- Develop, implement and administer systems-based vehicle asset management processes, including, but not limited to, asset assignment within the fleet management software program.
- Conduct regular assessments as to price, specifications and assess for potential purchases of vehicles and equipment.
- Assess fleet suitability on an ongoing basis, including, but not limited to whether a vehicle (a) meets environmental or contractual compliance, (b) should be re-assigned elsewhere to better meet the needs of the Company, and/or (c) should be purchased, sold or transferred.
- Maintain familiarity with all applicable state and federal rules, regulations, and legislation and provide recommendations to leadership on any needed changes to ensure compliance. This includes, but is not limited to, DMV Registration and Equipment Titles, Inspections, CSA Scorecard Monitoring, Fuel Usage compliance, ACF Regulations, CARB Compliance, and ANSI standards.
- Prepare reports to leadership on fleet monitoring including asset usage, mileage, hours, fuel purchases, maintenance schedules.
- Manage Fuel Card assignment and track adherence to Company Fueling strategy.
- Partner closely with maintenance and operations to ensure effective management, utilization and efficiency of Athens internal fueling stations.
- Manage asset end of life process including scrapping and planned non-operation with DMV.
- Manage all citations and violations with local operations teams.
- Direct and coordinate both internal & third-party CARB compliance contractors for required vehicle inspections to ensure ongoing certification and registration compliance.
- Work with third party compliance contractors to ensure CARB & DOORS databases are accurate and up-to-date and all vehicles are in compliance.
- Work with third party equipment suppliers to ensure camera monitoring systems & telematic devices are functional and actively tracking at all times. Co-ordinate repairs and new installations as required.
- Monitor and report on total cost of ownership (TCO) of company vehicle and heavy equipment assets.
- Ensure fleet compliance with all Federal, State & Local laws and regulations related to vehicle operations and fueling processes whilst ensuring BIT inspection readiness.
- Manage vehicle recall campaigns and warranty issues.
- Manage maintenance software to schedule preventative maintenance, facilitate customized specifications for multiple types of equipment, track maintenance costs per equipment, and ensure regulatory compliance.
- Assess, track and report on company sustainability goals and objectives related to fleet and heavy equipment assets.
- Update Motor Carrier Permitting application annually, provide updates for final report, ensure accuracy, process payments and ensure fees are paid on time and permits are received.
- Manage Annual PSIP testing. Co-ordinate and audit review of final reports for compliance & accuracy.
- Effectively present and communicate information in group meetings. Ability to define problems, collect data, establish facts, draw valid conclusions and provide appropriate recommendations.
- Must be computer literate and proficient in managing complex data and information.
- Must possess a keen technological aptitude to quickly gain familiarity with, and operate within, custom applications specific to industry fleet management software platforms.
- Experience must include fleet management for commercial vehicles or heavy equipment.
- Must be familiar with DMV processes, CARB and DOT regulations.
- Must be familiar with Maintenance and procurement processes and systems.
- Must have fuel management experience.
- The candidate must be able to regularly travel to each facility throughout the company footprint.
- Ability to work independently and handle multiple projects.
- A bachelor’s degree in a supply chain, business, or logistics-related field.
- Must have at least 5 years of experience in logistics management or transportation.
- Demonstrated problem-solving, analytical, critical-thinking and decision-making skills.
