As an Operational Officer in our Document Management Services team, you’ll be based within our busy post room, playing an essential part in our post room operations. The role will initially be scanning but this will also open other post room duties. Each day, you’ll help us with a variety of workstreams including opening post and preparing batches for scanning and digitising incoming documents and forms, ensuring that vital information is captured quickly, accurately, and securely. This role is perfect for someone who enjoys practical, hands-on work and thrives in a lively, deadline-driven environment.
You’ll be part of a supportive and friendly team that works closely together to deliver an excellent service to our customers and colleagues across the organisation. You’ll be trained across a variety of workstreams, giving you the skills to scan, check and validate images, and resolve common image quality issues. This is an onsite role, and you will be aligned to our Cardiff office, where you will be expected to attend the office five days a week. The nature of the work requires a consistent onsite presence to support the smooth running of our scanning and post room operations.
Please note: The Salary advertised is based on working full-time; this is a part-time role and the salary will be pro-rata'd.
As an Operational Officer in our Document Management Services team you’ll:
- Digitise incoming documents: Accurately scan and process physical documents and forms, ensuring they are captured to a high standard and ready for downstream processing.
- Maintain high levels of accuracy: Apply strong attention to detail when scanning, checking, and validating images to ensure data integrity and quality.
- Resolve image and scanning queries: Identify and correct image issues such as mis-scans, poor-quality images, or incomplete batches to support smooth operational workflows.
- Support a busy post room environment: Contribute to the day-to-day running of a fast-paced scanning and post-handling operations.
- Work collaboratively: Engage positively with team colleagues, supporting shared goals, and contributing to a friendly, productive team environment.
- Meet deadlines and daily targets: Work efficiently to ensure scanning tasks are completed on time, and service levels are consistently met.
- Follow processes and security requirements: Handle documents in line with organisational policies, confidentiality requirements, and information security standards.
- Respond to email enquiries: Monitor and respond to routine email queries from internal teams or customers in a clear, professional and timely manner, escalating issues where appropriate.
- Handle customer contact appropriately: Provide polite and helpful responses to customer enquiries by email or phone, ensuring accurate information is shared and records are updated in line with processes.

Please note: This is a 9-month fixed-term role, with the potential to become permanent if you successfully complete your probation.
Working Pattern: This position is offered on a part-time basis only, working 20 hours per week, Monday to Friday. You will work 4 hours each day, and your daily pattern must include our Core Hours of 4pm–6pm to support team collaboration and service needs.
Where will you be working? You will be aligned to our Cardiff office and will be expected to attend the office for your full working hours.
