The Health Information Management (HIM) Manager assists the HIM Director in strategically planning, coordinating, directing, and supervising the daily operations of the HIM department to ensure timely, quality services for Administration, medical staff, patients, families, and other healthcare organizations associated with the facility. The HIM Manager is responsible for overseeing all department employees and ensuring that all duties are performed in compliance with state, federal, and accrediting agency guidelines and standards. This role includes oversight of computer applications, such as electronic health records (EHR) and dictation/transcription systems. The HIM Manager also serves as a key contact for physicians regarding reports and turnaround times essential for timely billing and reimbursement. Additionally, the position provides data quality audits, coordinates staff education on computer applications, corporate policies, compliance requirements, and industry best practices.
Essential Functions
- Effectively leads and manages the HIM staff and fosters improvement/innovation within budgetary parameters.
- Improves subordinate performance through ongoing counseling, coaching, delegation, and feedback practices.
- Assists with the monitoring of HIM KPI's to provide feedback to staff related to meeting job performance expectations.
- Assists with reviews and updates of department policies/procedures necessary to maintain an effective and efficient HIM department.
- Ensures all medical records are maintained according to medical staff rules and regulations, TJC, and other applicable state/federal regulations.
- Certifies Daily Chart Reconciliation is performed, and missing charts are escalated to the appropriate unit/department.
- Tracks, monitors, reports, and leads facility action planning as applicable on HIM Key Performance Indicators (KPI).
- Performs QA of Scanning and Analysis Audits according to policy daily ensuring 95% or higher accuracy.
- Conducts annual Evaluations utilizing Kronos timekeeping reports, monitoring employee productivity logs, reflecting any coaching or disciplinary action taken in the past 12 months.
- Maintains Patient Portal and Transition of Care Inbound Messages daily to ensure meaningful use of EMR.
- Performs performance improvement functions through data collection and documentation review.
- Monitors proper use of department equipment and makes recommendations for maintenance/replacement of equipment and software.
- Performs other duties as assigned or requested, including Corporate mandated manager only functions.
Qualifications
- Associate Degree in Health Information Management required or actively pursuing Associate or Bachelor degree in Health Information Management with leadership approval of an education plan.
- Bachelor's Degree in Health Information Management preferred.
- 1-3 years Health Information Management experience required.
- 1-3 years Health Information Management Leadership experience preferred.
Knowledge, Skills and Abilities
- Must possess critical thinking skills.
- Ability to effectively communicate to all levels of the facility including staff, physicians, and senior leadership.
- Requires effective written and verbal communication skills.
- Word processing, spreadsheet and database software knowledge; Electronic Health Records.
Licenses and Certifications
- RHIT - Registered Health Information Technician required or actively pursuing credential RHIT/RHIA.
- RHIA - Registered Health Information Administrator preferred.
