Community Health Action of Staten Island (CHASI) drives dramatic improvements in the health of New Yorkers by feeding people who are hungry, healing families broken apart by violence, and bridging the gaps between people and the compassionate health care they deserve. CHASI serves the most vulnerable individuals, families, and communities with critical services and programs. CHASI provides outreach, education, prevention, and direct support services for populations most affected by health disparities - the poor and working poor, low-income people with chronic illnesses, persons with criminal justice involvement, substance users, domestic violence survivors, people of color, and the LGBTQ community.

POSITION SUMMARY: The Receptionist serves as the first point of contact for visitors, employees, vendors, and community partners while providing reception and administrative support to the administrative office at Community Health Action of Staten Island. The position assists the Senior Leadership Team with day-to-day administrative and office support tasks, helping to ensure the office operates efficiently while providing excellent customer service to staff and other guests. Reporting to the Vice President of Development and Communications, this position will also have the opportunity to assist with administrative tasks related to organizational communications and development projects.

DUTIES & RESPONSIBILITIES:

  • Reception & Visitor Services
    • Serve as the first point of contact for visitors, employees, vendors, and community partners.
    • Welcome and assist visitors upon arrival, direct visitors to the appropriate staff member or meeting location.
    • Answer and route incoming telephone calls professionally.
    • Receive, sort, and distribute incoming mail and deliveries.
    • Maintain the reception area and other office spaces to ensure they are clean, organized, stocked, and professional.
  • Administrative Support
    • Provide administrative support to the Executive Office and members of the Senior Leadership Team, as assigned.
    • Assist with copying, scanning, filing, and organizing documents.
    • Prepare meeting rooms for executive and leadership meetings.
    • Assist with scheduling conference rooms and maintaining shared calendars, as assigned.
    • Perform data entry and maintain electronic and paper files.
    • Order and maintain office supplies for the Executive Office.
    • Assist with special projects and other administrative duties as assigned.

Requirements

  • High school diploma or equivalent preferred.
  • At least 1 year of customer service, receptionist, retail, volunteer, or other administrative experience. Experience working in a professional office environment preferred.
  • Strong verbal and written communication skills, with excellent customer service and interpersonal skills.
  • Professional, courteous demeanor with visitors, employees, and community partners.
  • Strong organizational skills, attention to detail, and the ability to prioritize tasks and manage time effectively.
  • Ability to maintain confidentiality and exercise good judgment when handling sensitive information.
  • Proficiency with Microsoft Office applications (Word, Outlook, Excel, Teams, SharePoint, etc.) or the ability to quickly learn new software.
  • Dependable, punctual, and eager to learn.
  • Flexibility to adapt to changing priorities while working both independently and as part of a team.
