The ideal candidate will be the first point of contact for our clients, providing excellent customer service and administrative support. This role requires strong organisational skills, proficiency in office software, and a keen attention to detail to ensure smooth operations within the office environment.
Responsibilities
- Manage all incoming telephone calls, ensuring they are handled professionally and transferred to the appropriate staff member.
- Provide a warm and respectful welcome to all clients attending the service.
- Work collaboratively with colleagues involved in the delivery of advice services.
- Provide general administrative support to the team as required.
- Record client details accurately using the Advice Pro case recording system.
- Liaise with advisers and volunteers to ensure clients receive appropriate support.
- Maintain a tidy, organised and professional reception area.
- Sort and distribute all incoming mail daily, and prepare outgoing mail for collection.
- Follow agreed office systems, policies and procedures.
- Consult with the Operations Manager when required or appropriate.
- Contribute to the promotion of Community Advice Newry, Mourne and Down.
- Undertake any other reasonable duties consistent with the role.
Skills and Qualifications
- At least one year’s experience in a receptionist or administrative role.
- Proficiency with email, internet and Microsoft Office applications.
- Interest in and understanding of the voluntary and community sector in Northern Ireland.
