We’re seeking a highly skilled Administrative Assistant to join our dynamic team and provide vital support to the EMEA Sales Vice President and the regional leadership team.
How You Will Make an Impact
- Manage complex, fast‑paced schedules and priorities for the Vice President and other team members as needed.
- Build and maintain strong relationships with key internal and external stakeholders, including board members, customers, partners, executives, suppliers, and employees.
- Coordinate and schedule a wide variety of meetings and events—on‑site, virtual, and hybrid—across multiple time zones, including event planning, catering, facilities, and transportation arrangements.
- Oversee all aspects of executive travel, ensuring seamless and efficient arrangements.
- Handle administrative tasks such as expense reporting, procurement, shipping, and accounts payable.
- Lead special projects, including preparing presentations, assisting with space planning, and managing distribution lists.
- Collaborate closely with other executive assistants to maintain alignment and connectivity across teams.
- Manage classified information with the utmost confidentiality.
- Support the Vice President and regional sales team with ad‑hoc duties as required.
Required Qualifications
- Bachelor’s Degree with 5+ years of executive administrative support experience.
- Proven track record managing travel schedules and calendar management.
- Experience coordinating corporate events and meetings.
- Proficiency in Microsoft Office, virtual meeting platforms, expense reporting systems, travel management tools, and procurement systems.
- Strong interpersonal skills with excellent written and verbal communication.
- Solid analytical and problem‑solving abilities.
