In this busy and varied role you will be based at our Cambridge office providing high‑level administrative and operational support to CommonAI Compute's senior leadership group. This role requires exceptional organisational skills, discretion, and the ability to anticipate needs in a fast‑paced environment. You will act as a trusted partner to the CTO and work alongside CommonAI CIC's Executive Assistant ensuring priorities are managed efficiently and communications run smoothly.
Responsibilities- Executive Support – diary management, scheduling meetings, preparing agendas, reviewing presentations, reports and briefing materials, processing expenses
- Operational & Administrative Support – general office management including purchasing, health & safety compliance and assistance with new joiner set‑up, managing online HR systems and staff holiday approvals
- Communication & Coordination – liaison with internal teams, external partners, customers and stakeholders, handling legal and technical documents
- Process Improvement – identifying opportunities to streamline workflows and support with special projects and initiatives as needed
- Events and hosting – arranging team building events, customer meetings, dinners, and outreach events
- Proven experience as an Executive Assistant, Personal Assistant, or similar role
- Exceptional organisational and time‑management skills
- Strong written and verbal communication abilities, with good attention to detail
- Proficiency in Google Workspace/Microsoft Office or similar office tools
- An ability to problem‑solve autonomously and manage multiple priorities
- An enthusiastic and proactive attitude
- A high level of professionalism, integrity, and confidentiality
This is a full‑time role, but we are open to some flexibility, depending on candidate circumstances.
