Common Wheel is a 25‑year‑old mental health charity based in Glasgow.

We provide meaningful activity for people with mental illness and dementia.

We work with over 400 participants per year, providing group activities in music, art, bike building, gardening and climbing and a huge variety of Drop‑in Sessions offering activities as diverse as Tai Chi and Introductory Gaelic.

We also support volunteer opportunities across the organisation.

Our aims are to improve mental wellbeing, reduce isolation, increase skills and challenge stigma.

Financial position: In 2025/26 Common Wheel’s turnover was almost £323k, with spend of £320k, giving a surplus of almost £3k.

The bike workshops contributed a quarter of the income, grants 63% and donations 12%.

There are currently 9 staff members, supplemented by freelancers to deliver many of the activities.

Role Purpose

You will have overall responsibility for the day‑to‑day accounting of Common Wheel including the management and administration of financial systems and the processing of receipts and payments, including payroll.

You will also work with the staff and trustees to ensure accuracy, transparency, and sound financial practice.

Key Responsibilities

  • Process payments, invoices, POs, receipts and petty cash accurately entering data into your own accounting software.
  • Prepare comprehensive monthly financial statements detailing business income and expenditure.
  • Perform monthly reconciliations of all general ledger accounts and to bank accounts.
  • Manage vendor invoices, ensuring timely payments and tracking bank account balances.
  • Process employee salaries and manage employee expense claims.
  • Register Common Wheel for VAT at the appropriate time; thereafter complete and submit VAT returns in accordance with regulations.
  • Develop monthly cash flow statements, with variance analyses compared with budget and prior year for Finance Trustee, Project Manager and board.
  • Provide all accounting and financial reports and documents needed by Independent Examiner to prepare Annual Accounts.
  • Filing corporate tax returns for the company to HMRC and submitting necessary information to OSCR.
  • Responding to staff and external queries in relation to finance.
  • Support management in the accurate production of budgets.
  • Manage gift aid.
  • Ad hoc cost analysis.
  • Note Common Wheel plans to change banks as soon as the new postholder is in place.

Currently it is with CAF bank and plans to move to the Bank of Scotland.

Unfortunately, the CAF bank does not facilitate automated transfer and hence all suppliers, staff, SO/DDs will need to be set up from scratch.

This work will be additional to the above.

Skills and experience required

  • Proven experience in bookkeeping, demonstrating a strong understanding of accounting principles.
  • Proficient in excel, word and ideally zero.
  • Exceptional attention to detail and accuracy in data entry.
  • Highly organised and attention to detail.
  • Strong verbal and written communication skills to collaborate with staff and suppliers.
  • Be familiar with HMRC requirements.
  • Be able to work independently and without supervision.
  • Able to adhere to reporting deadlines.
