Recruiting Coordinator / Onboarding Specalist

CommonSail Investment Group

Position Summary

As a Recruiting Coordinator at CommonSail, you will play a vital role in supporting the corporate recruitment process by ensuring candidates move efficiently through the hiring pipeline. This task-oriented role requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple workflows simultaneously. Ideal candidates will have experience with Smartsheet or similar project management tools and a collaborative, service-oriented approach.

Key Responsibilities

  • Receive and process offer details from recruiters and hiring leaders
  • Verify completion of candidate applications and follow up as needed
  • Compose and send offer letters to candidates
  • Send Step 2 application materials or post-hire packets to candidates
  • Update the Offer Dashboard to reflect each candidate’s progress
  • Initiate background checks for applicable roles and locations
  • Notify Property Administrators (PAs) and hiring leaders when to begin candidate screening
  • Track candidate progress and ensure screening steps are completed before moving candidates to Prism
  • Proactively follow up with hiring teams on unresponsive candidates
  • Review the “Open Position Report” weekly to ensure all roles are properly posted
  • Monitor and update requisitions regularly, every 30–45 days or at the recruiter’s request
  • Source candidates using Indeed’s Resume Search at the recruiter’s request
  • Maintain the “Intake Locker Room” Smartsheet, ensuring all position intake forms are current
  • Support interview scheduling and coordination when needed

Required Qualifications

  • Bachelor’s degree or equivalent work experience in Talent Acquisition, Human Resources, or a related field
  • Exceptional attention to detail and accuracy in task execution
  • Excellent interpersonal and time management skills
  • Comfortable working in a fast-paced, process-driven environment
  • Proficiency with Smartsheet (preferred) or similar project/task management tools
  • Previous recruiting or talent acquisition experience is a plus, but not required
