Responsibilities:
- Identify and source suitable venues that match the event’s requirements, including location, capacity, facilities, and budget constraints.
- Work closely with clients to understand their event needs, objectives, and preferences, ensuring that venue options align with their vision.
- Negotiate competitive rates, terms, and conditions with venue suppliers, ensuring the best possible deal for the client.
- Organize and conduct site visits to assess the suitability of venues, evaluating factors like accessibility, ambiance, and logistical capabilities.
- Maintain up-to-date knowledge of both UK and international venues, participating in site visits and industry expos/events.
- Ensure venue options align with the client’s budget, providing cost-effective options.
- Build and maintain strong relationships with venue suppliers, ensuring reliable service and the best treatment for clients.
- Create detailed venue proposals, including recommendations and any considerations for the client when needed.
- Address any issues or challenges that arise with venues, including last-minute changes or emergencies, ensuring minimal disruption to the event.
- Advise on and incorporate sustainable venue options and practices, aligning with clients’ environmental goals.
- Maintain thorough records of all venue-related communications, contracts, and decisions, ensuring transparency and easy reference.
- Gather feedback on venue performance, contributing to post-event reviews and continuous improvement of venue selection processes.
- Provide regular updates to clients on venue search progress, addressing any concerns or additional requirements as they arise.
