As a Business Support Administration Apprentice, you'll manage calls and jobs using our ERP system, ensuring smooth allocation of work orders to our engineering team. You'll handle product orders, uphold protocols, and meet KPIs/SLAs. Track job progress, update asset records, and handle complaints, while providing general admin support.
Responsibilities
- Log calls and jobs on the helpdesk ERP system
- Allocate work orders to the reactive engineering team
- Place product orders with the approved supply chain
- Ensure all protocols, policies and procedures are met within the Helpdesk ERP system
- Take ownership for the PPM schedule and reactive maintenance jobs
- Ensure all tasks are completed in line with the associate KPIs / SLAs
- Ensure 100% portal compliance in line with individual client requirements
- Ensure engineer / service reports are completed
- Track job progress against predetermined KPIs including response times
- Update asset history from external work record sheets
- Regularly cleanse and refresh the electronic asset register to reflect asset details (replacement & equipment, disposal details, warranty details, location, suppliers & installers)
- Deal with front-line complaints and service-related issues arising from reactive and planned works; log complaints, monitor and process toward remedial and resolved outcomes
- Provide general administrative support including filing, document distribution, word processing, spreadsheets, database services/maintenance, ERP reports; use IT packages (e.g., MS Office) to write letters or emails, create proposals, perform financial processes, and analyze data
- Produce accurate records and documents (emails, letters, files, payments, reports, proposals); draft correspondence, review others' work, maintain confidential information in line with procedures; coach others in required processes
- Demonstrate proactivity, good judgement, and the ability to seek advice when appropriate
- Build and maintain positive relationships within the team and across the organisation; influence appropriately and act as a role model
- Communicate effectively across channels, demonstrate agility and confidence, and apply appropriate channels for social media solutions as required
- Complete tasks to a high standard and continuously seek process improvements; share administrative best-practice
- Take responsibility for initiating and completing tasks, managing priorities and deadlines; coordinate meetings, take minutes, and manage logistics
- Use project management principles and tools to scope, plan, monitor, and report on projects; plan resources and lead projects as required
