As a Sales Operations Administrator at Commercial.
You’ll be part of Commercial’s IT Business Operations Team within the Finance Department, providing administrative support across Managed IT Sales, Projects, NOC, Managed Services, Telecoms, Professional Services and Pre Sales teams, as well as supporting our customers.
This is a varied, hands‑on role where you’ll manage daily processing of sales orders, sales invoicing and purchasing of goods for resale.
You’ll also process recurring billing, support contract administration, create management reports, expedite orders, liaise with vendors and suppliers, and act as a key point of contact for internal stakeholders.
Your responsibilities as a Sales Operations Administrator will be
- Process sale orders and sales returns.
- Purchase goods required for resale, using online portals, where required.
- Expedite purchase orders to ensure on time delivery of goods and services. Including ensuring all goods and services are receipted accurately and according to procedures.
- Maintain records of recurring billing contracts, for Commercial support services and for third party services and products.
- Process sales orders, purchase orders and invoices for renewable IT licensing and services.
- Work to resolve Purchase and Sales Invoices queries, in conjunction with the Credit Control & Accounts Payable teams.
- Liaise with Warehouse team, Network Operations Centre team & Project Management teams to co‑ordinate deliveries and dispatches.
- Liaise with Project Management team to ensure accurate and timely project related sales invoices are raised.
- Raise Sales Invoices to an extremely high degree of accuracy, to include those relating to recurring monthly billing, renewable products and services, Managed IT projects, managed service support contracts and outsourced managed services.
- Raise sales orders, purchase orders, place orders & raise sales invoices for the Telecoms centre of excellence within the business.
- Create and maintain management reports, ensuring accuracy and timely distribution to stakeholders.
- Manage month beginning and month ending financial and reporting routines, ensuring all required tasks are completed within prescribed SLAs.
- Liaise with Management Accounting team to ensure correct reporting of cost and sales accruals and deferrals in P&L.
About you
- Excellent organisational skills and attention to detail.
- Business and operational financial experience in a purchasing, operational or sales environment.
- You will be process‑driven with an understanding of the importance of good time management, ability to achieve goals and have excellent communication skills.
- Able to manage and prioritise multiple tasks simultaneously.
- Ability to work under pressure to tight and challenging deadlines and with minimal supervision.
- Customer facing with a highly professional manner and a good command of written and spoken English.
- A good collaborator with strong stakeholder management skills.
- Fast learner with good initiative and a flexible approach.
- Proficient with Microsoft Office tools, especially Excel, Outlook and Teams.
The ability to learn and become proficient in the use of multiple vendor and supplier online portals and tools.
