The Deputy Care Navigation Manager supports the Care Navigation Manager in the day-to-day coordination and supervision of the Care Navigation and administrative teams, ensuring patients receive an efficient, friendly and high-quality service across both practice sites. This role acts as a deputy to the Care Navigation Manager, providing leadership support and taking a lead responsibility for clinical rota coordination, ensuring the smooth delivery of clinician sessions, appointment availability and on-the-day operational cover. The postholder will also contribute to staff training, performance monitoring, and service development initiatives, helping to ensure consistent delivery of excellent patient care and operational standards.

Job responsibilities:

  • Support front-of-house operations and ensure excellent patient experience
  • Provide professional patient support in person and via the phone
  • Maintain organised, welcoming reception and waiting areas
  • Support daily clinical rota coordination and capacity planning, using Tempo
  • Communicate rota changes and arrange locum cover when needed
  • Provide team leadership, guidance, and support
  • Assist with staff rotas, daily huddles, and team meetings
  • Manage patient queries and use practice systems effectively (SystmOne, AccuRx)
  • Deputise for the Care Navigation Manager when required
  • Assist the Care Navigation Manager with staff training

Who We’re Looking For:

  • Experience in an administration and ideally a healthcare setting
  • Strong organisational and communication skills

This role offers an excellent opportunity to develop your leadership skills and contribute to improving patient access and care. You will have the opportunity, in due course, to undertake a Level 5 Apprenticeship or similar, to underpin your management training.

Qualifications:

  • GCSE (or equivalent) in English and Maths (Grade C/4 or above)
  • Good standard of general education
  • NVQ Level 3 in Business Administration, Customer Service, Healthcare Administration, or equivalent
  • Leadership or Management qualification (Level 3 or above)
  • Training qualification or experience in coaching/mentoring staff
  • Willingness to undertake a Level 5 Management Apprenticeship or equivalent management qualification

Experience:

  • Previous experience in an administrative role
  • Experience working in a busy, customer-facing environment
  • Experience using IT systems and Microsoft Office applications
  • Experience prioritising workload and managing competing demands
  • Experience working effectively as part of a team
  • Experience working in a healthcare or primary care setting
  • Experience supervising, mentoring, or supporting colleagues
  • Experience using SystmOne
  • Experience using AccuRx or similar clinical communication systems
  • Experience coordinating staff rotas or workforce planning
  • Experience managing patient complaints or complex patient enquiries
  • Experience delivering staff training and induction
