Permanent – 14 hours per week (Monday and Tuesday), term-time only (39 weeks per year)

We are seeking a proactive, organised and compassionate Pastoral Admin Assistant to join our Wellbeing and Pastoral Team.

This role is central to supporting the day-to-day operation of the Wellbeing Centre and providing high-quality administrative support across safeguarding, wellbeing and pastoral functions.

Working closely with students, parents, pastoral staff, teaching colleagues and external agencies, you will help ensure students receive the support they need while maintaining efficient processes and accurate records.

This is a varied and rewarding position, ideal for someone who enjoys working collaboratively, managing multiple priorities and making a positive difference to young people's wellbeing.

  • What You'll Be Doing
  • Wellbeing Centre Support
  • Acting as the first point of contact for students visiting the Wellbeing Centre, providing a welcoming and supportive environment.
  • Responding to telephone and email enquiries and directing queries appropriately.
  • Triaging student concerns and referring them to the relevant member of staff.
  • Supervising students within the Wellbeing Centre when required.
  • Organising appointments and review meetings for the SENCo, parents and external agencies.
  • Liaising with teachers to gather feedback and information relating to individual students.
  • Maintaining records, updating systems and providing general administrative support.
  • Pastoral & Safeguarding Administration
  • Providing administrative support to the Safeguarding, Wellbeing and Pastoral Teams.
  • Supporting the Assistant Head (Pastoral) with Year 7 induction activities and record maintenance.
  • Coordinating safeguarding training records and monitoring attendance.
  • Preparing correspondence, documentation and meeting arrangements as required.
  • Ensuring confidential information is handled securely and professionally.
  • Student Support & School Administration
  • Organising whole-school and individual student photography sessions.
  • Maintaining accurate student records and data.
  • Supporting pastoral events and initiatives throughout the school year.
  • Assisting with communications to parents and external agencies where appropriate.

As part of the wider Administrative Team, you may also

  • Support reception by greeting visitors, responding to student enquiries and managing incoming calls.
  • Operate the school intercom system.
  • Manage incoming and outgoing post and arrange parcel collections.
  • Coordinate minibus bookings and support school transport administration.
  • Update student bus lists and liaise with transport providers and the local authority.
  • Support student sign-in/sign-out procedures and issue visitor and staff badges.
  • Help families with lost property and forgotten items.
  • Maintain a tidy, organised and welcoming reception area.
  • Respond appropriately to stakeholder enquiries, requests and complaints.
  • Provide flexible administrative support across the school as required.
