The role is responsible for assisting with the procurement of subcontractors and materials, administering subcontract packages, monitoring project costs and maintaining accurate commercial records to ensure projects are delivered on programme, within budget and to high quality standards
To support the Commercial Manager in the commercial and procurement management of Colten's new build and refurbishment projects from tender through to final account
Main Responsibilities
- Assist with the procurement of subcontractors and materials for new build and refurbishment projects.
- Assist in preparing and managing tender enquiries, tender documentation and subcontract packages.
- Obtain, analyse and negotiate competitive quotations from subcontractors and suppliers under the Commercial Manager supervision.
- Assist in preparing and distributing subcontract orders and assist with subcontract administration throughout the project lifecycle.
- Process subcontract valuations, payment applications, variations and final accounts under the supervision of the Commercial Manager.
- Maintain procurement schedules, workload trackers and accurate commercial records for each project.
- Monitor project costs, assisting with the preparation of monthly cost reports.
- Issue the latest drawings, specifications and contract documentation to subcontractors and suppliers, ensuring all parties are working to the current revision.
- Liaise with Site Managers, Quantity Surveyors, consultants and suppliers to ensure materials are delivered in accordance with the construction programme.
- Attend commercial and project meetings, providing updates on procurement progress, costs and commercial performance.
- Carry out regular site visits to monitor construction progress, verify completed works and ensure procurement activities support the build programme.
- Ensure compliance with company procedures, commercial processes, contractual obligations and company policies.
- Maintain accurate filing and document control systems in accordance with company standards.
Other Responsibilities
- Build and maintain strong working relationships with subcontractors, suppliers and the wider project team to support successful project delivery.
- Engaging and consulting with internal and external parties as necessary such as utility companies, structural and civil engineers, architects, geotechnical engineers
- Support the creation of tender documentation such as scope of work and CDM due diligence for new subcontractors and suppliers
- Assist in identifying value engineering opportunities and cost‑saving initiatives without compromising quality or programme.
- Support the Pre‑construction Manager in obtaining quotations from services infrastructures providers such as SSE, SGN and the likes.
- Previous experience in an Assistant Quantity Surveyor, Assistant Buyer, Commercial Assistant or similar construction role
- Experience assisting with procurement and orders administration of subcontractors and construction materials
- Experience using Microsoft Excel, Word and Outlook in a commercial environment
- Experience using Bluebeam
Knowledge/Qualifications
- HNC (Higher National Certificate) in Construction and the Built Environment
- Good understanding of construction methods, terminology and sequencing
- Knowledge of procurement processes and subcontract administration
- Good understanding of measurement and take‑offs from drawings
- Knowledge of cost reporting, valuations, variations and final accounts
- Good IT skills, including Microsoft Excel, Word and Outlook
- Full UK Driving Licence
- Ability to interpret construction drawings, specifications and tender documentation
- Good commercial awareness and financial understanding
- Strong organisational and time‑management skills with the ability to manage multiple projects and deadlines
- Good problem‑solving and decision‑making skills
- Ability to build and maintain strong working relationships with subcontractors, suppliers and colleagues
- Highly organised with excellent attention to detail
- Self‑motivated with a proactive and positive attitude
