We are looking for someone to support the Fleet team in ensuring compliance across all company vehicles, maintaining accurate records, and assisting with the daily management of transport compliance requirements. This role is key to ensuring the fleet operates safely, efficiently, and in line with industry regulations and accreditation standards.
Main Duties & Responsibilities
- Maintain accurate and up-to-date transport compliance records, including vehicle checks, servicing schedules, MOTs, insurance, and regulatory accreditations.
- Ensure compliance documentation is reviewed, updated daily, and stored correctly in line with company and legal requirements.
- Assist with vehicle scheduling, servicing, maintenance logs, and documentation to ensure all vehicles remain roadworthy and compliant.
- Coordinate repairs, servicing, and maintenance activities in collaboration with garages and suppliers.
- Use company systems and Microsoft Excel to update, track, and report on fleet compliance data.
- Ensure data accuracy, accessibility, and audit readiness at all times.
- Liaise with drivers, suppliers, and internal departments to gather, verify, and resolve compliance‑related information.
- Provide administrative support to the Fleet team, including filing, document control, reporting, and responding to compliance‑related queries.
- Assist with wider transport administration tasks as required.
Requirements
- Strong administrative skills with a high level of accuracy and attention to detail.
- Proficient in Microsoft Office applications, particularly Excel, for data entry, tracking, and reporting.
- Ability to manage workload independently and take responsibility for completing tasks on time.
- Good verbal and written communication skills, with the ability to liaise effectively with drivers, suppliers, and internal teams.
- Strong organisational skills and a proactive, team‑focused approach.
- Clean Full UK Driving Licence.
Experience
- Previous experience in a compliance, fleet administration, transport coordination, or administrative role is desirable but not essential.
- Experience working in a fast‑paced operational environment (such as construction, logistics, transport, or facilities management) is advantageous.
- Experience maintaining records, managing documentation, and supporting compliance processes is beneficial.
License/Certification
- Clean Full UK Driving Licence.
