The Role
We are seeking an experienced and highly organised Senior Business Support professional to provide comprehensive administrative and operational support to our London & Bristol based Project Management team within the Project & Building Consultancy team.
This role is critical in ensuring the smooth day-to-day running of the service line, supporting senior stakeholders, coordinating project administration, and driving operational efficiency.
The successful candidate will be a proactive problem solver with exceptional organisational skills and the ability to manage multiple priorities in a fast-paced professional environment.
This is not an Executive Assistant (EA) or Personal Assistant (PA) role .
While diary management and stakeholder coordination form part of the position, the primary focus is supporting project delivery, financial administration, business operations, and consultancy processes within a professional property environment.
*Please note that, during the training and handover period (anticipated October to December), the successful candidate may be required to travel to Walton-on-Thames, Surrey, to support onboarding and knowledge transfer activities.
Thereafter, the role will be primarily based in our London office.
Job Description
Key Responsibilities
- Business & Team Support
- Provide high-quality administrative support to Directors, Associates and wider team.
- Coordinate diaries, meetings, travel arrangements and internal events.
- Organise team meetings and prepare agendas, presentations and meeting minutes where required.
- Act as a key point of contact for internal and external stakeholders.
- Project Administration
- Support consultants throughout the project lifecycle from instruction through to completion.
- Create and maintain project documentation and records.
- Prepare fee proposals, engagement documents and reports.
- Monitor project milestones and support consultants with project tracking and reporting.
- Assist with document management and quality assurance processes.
- Raise / remove purchase orders and process orders auto generated by Salesforce
- Support fee forecasting and project financial tracking.
- Prepare monthly reports and management information as required.
- Liaise with finance teams to resolve billing and payment queries.
- Operational Excellence
- Identify opportunities to improve administrative processes and team efficiency.
- Maintain accurate records within internal systems and databases.
- Support onboarding activities for new team members.
- Ensure compliance with company policies, procedures and governance requirements.
Qualifications
Skills & Experience
- Previous experience in a Senior Business Support, Team Coordinatoror Business Administration role.
- Experience supporting professional services, property, construction, engineering or consultancy teams.
- Strong organisational skills with the ability to prioritise competing demands.
- Advanced Microsoft Office skills, particularly Word, Excel, Power Point and Outlook.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to work independently and take ownership of tasks.
- Experience managing confidential information with discretion.
- High standard Power Point skills / knowledge
- High standard excel and word skills / knowledge
- Experience of PQQ’s and RFP’s / Experience of tenders and pitch documents
- CRM Experience
- Experience within real estate, construction, surveying or project management environments.
- Experience using project management or financial management systems.
- Understanding of project lifecycles and consultancy environments.
- Experience supporting fee earners and senior leadership teams.
