We are looking to recruit a highly motivated, innovative and enthusiastic Senior Administrator to join our Healthcare Service at HMP & YOI Feltham. In our quest to deliver patient-focused gold standard care across our Children and Young People Service Line, we are seeking a Business Administrator to join our Business and Administrative Team based at HMP YOI (Young Offender Institution) Feltham within the Integrated Healthcare Service team.

Responsibilities

  • Day‑to‑day management of administrative services at HMP & YOI Feltham healthcare services, including subcontracted teams such as GPs and allied health professionals.
  • Ensure administrative support for meetings, including timely preparation and distribution of papers, effective calendar and booking management, minute‑taking, and maintenance of action plans and risk registers.
  • Supervise the administration team’s use of software packages (MS Word, MS Excel, P‑NOMIS, SystmOne, NDTMS/DET uploads, i‑procurement, Datix, IQUIVA, FFT, etc.) to meet senior management needs.
  • Oversee procurement using the Trust procurement system and ensure adequate stationery supply.
  • Support administration of recruitment events, away days and training events by booking venues and providing reception services.
  • Prepare reports and presentations for senior healthcare managers and assist in performance‑related reporting for the Business and Performance Manager.
  • Handle incoming telephone calls and correspondence appropriately.
  • Provide administrative support to members of the Senior Management Team.
  • Assign daily administrative tasks to named administrators and maintain an accountability structure within the team.
  • Identify and report administrative problems to the Business and Performance Manager and relevant healthcare leads.
  • Prepare small information/research items for the team and assist in the preparation of reports/presentations as needed.
  • Support health promotion and assistant practitioners by procuring up‑to‑date information leaflets and identifying new suitable literature.
  • Develop and maintain systems to organise one’s own workload and the workload of the team.
