Job Summary

Personal Assistant

We welcome applicants from all backgrounds to join our supportive team. In this role, you will provide a confidential, efficient, and effective secretarial support service directly to the Deputy Chief Executive Officer (DCEO) and senior management. You will balance high-level executive assistance, diary, and meeting management with the coordination of key college processes and the effective operation of Agile Hubs across our Deeside and Yale sites.

What You Will Do

  • Act as the primary point of contact for the DCEO and Senior Management Team, receiving and welcoming high-profile external stakeholders, politicians, and Welsh Government officials.

  • Proactively manage the DCEO’s complex diary, schedule appointments, coordinate travel and accommodation, and prepare briefing materials to ensure smooth daily operations.

  • Schedule meetings, compile agendas, and take/transcribe formal minutes for Senior Management Team meetings, internal College Committees, and Governing Body/Board meetings.

  • Manage and coordinate key college processes linked to the DCEO's portfolio, dealing with sensitive and confidential issues with discretion and initiating appropriate correspondence.

  • Support the effective operation of Agile Hubs at the Deeside and Yale sites in collaboration with the wider PA team, providing guidance to colleagues as required.

  • Support major College events and statutory requirements, including Estyn/Ofsted inspections and Open Events.

Must-Haves

  • Level 4 qualification or equivalent relevant management experience.

  • Minimum of 2 years’ experience providing comprehensive administrative/PA support to senior managers in a large or complex organisation.

  • Proven experience in taking/transcribing formal minutes and coordinating/managing complex organisational processes.

  • Strong IT literacy across MS Office, Google, and digital communications, with Level 2 Digital Literacy (or willingness to work towards it).

  • A commitment to safeguarding young people and adults at risk.
