Reporting to the Site manager, you will play a vital role in our manufacturing team by supporting the purchasing department with essential administrative tasks. Your responsibilities will include preparing and processing purchase orders, maintaining accurate records of suppliers and inventory, and ensuring compliance with company policies in all procurement activities. You will also coordinate with suppliers to confirm product specifications and delivery schedules, contributing to an efficient and cost-effective procurement process. Your strong organisational skills, attention to detail, and ability to handle multiple tasks simultaneously will be crucial to our operation’s success.

Key Accountabilities:

  • Prepare and process purchase orders, requisitions, and invoices.
  • Maintain and update supplier records, purchase orders, and inventory logs.
  • Coordinate and schedule meetings, calls, and appointments related to procurement activities.
  • Communicate with suppliers to obtain product specifications, pricing, and delivery schedules.
  • Assist in preparing documentation for audits and inspections.
  • Follow up with suppliers on order status, delivery issues, and discrepancies.

Inventory Control:

  • Monitor inventory levels and coordinate with the warehouse team to ensure timely procurement of materials.

Compliance and Documentation:

  • Ensure compliance with company policies and relevant regulations in all purchasing activities.
  • Maintain and organise purchasing documents and records for easy retrieval.

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Strong organisational and time management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Detail-oriented with a strong focus on accuracy and compliance.
