This is an office based role, requiring you to work from our London office daily.

YOUR ROLE

As an office manager within our HQ at Cognism, you will play a vital role in ensuring the smooth day‑to‑day operations of the business. You will be responsible for creating a well‑organised, efficient, and welcoming office environment, supporting teams across the company, and managing the administrative processes that keep the organisation running effectively. This role is ideal for someone proactive, detail‑oriented, and highly organised, who thrives in a dynamic, fast‑paced workplace and enjoys being at the heart of the business.

KEY RESPONSIBILITIES

  • Office operations and environment: oversee the day‑to‑day running of the office, ensuring it is clean, well‑stocked, and fit for purpose. Manage relationships with building management, suppliers, and service providers. Act as the first point of contact for all facilities-related matters.
  • Administrative support: coordinate meeting rooms, handle incoming correspondence, provision office access passes and arrange courier bookings.
  • People and culture support: support onboarding for new joiners, ensuring their workspace and equipment are ready from day one. Help coordinate company events, off‑sites, and social activities that contribute to a positive office culture. From time to time, you may also assist with coordinating administrative tasks and cultural events for our Cologne, Paris and Boston offices.
  • Budget and procurement: manage the office budget, track spend against plan and identify cost‑saving opportunities. Own procurement of office supplies, equipment, and amenities, negotiating with vendors to ensure value for money.
  • Health, safety and compliance: ensure the office meets all health and safety requirements. Maintain records, conduct risk assessments, and liaise with external parties on building compliance and certifications.

KEY REQUIREMENTS

  • Must have at least 2 years’ proven experience in an office/facilities/administrative role or similar.
  • Must be able to work autonomously, as well as effectively within a team.
  • Self‑starter who anticipates needs, is great at problem solving, is forward‑thinking and solutions‑focused.
  • Have excellent communicative skills, comfortable working across all levels of the business and be a confident decision maker.
  • A friendly, positive, have‑a‑go, can‑do attitude is essential.
