OverviewWe are looking for someone who enjoys working with our team, creating and managing an environment where we all thrive. You\’ll be in charge of our admin, from day‐to‐day bookkeeping to arranging our monthly cultural outings. This is a busy, multi‐faceted role with many regular tasks alongside wider projects and opportunities that arise. You\’ll need to juggle many tasks whilst maintaining a cheerful and helpful approach to clients, colleagues and suppliers. ResponsibilitiesMaintaining the studio
You\’ll be in charge of maintaining our working environment, including feeding the fish, backing up the server, providing IT troubleshooting, overseeing the fire alarm system, being our first aid contact and keeping the kitchen cupboards stocked.
Bookkeeping / invoicing
Scrupulously maintain bookkeeping and invoicing, liaise with our Director to keep accurate records, pay invoices within a week and charge fairly and promptly.
Managing systems
Champion, maintain and continually improve procedures and systems, documenting improvements.
People focused
Organise monthly cultural outings, celebrate milestones and birthdays, and support all people‐management responsibilities.
Liaising with clients
Front‐line role: answer phone, greet guests, contact clients, send welcome packs, set‐up meetings.
Liaising with suppliers
Negotiate prices, nurture relationships and manage specific tasks while securing best value.
Qualifications
Organised with a meticulous eye for detail
Ability to manage concurrent projects
Numerate with experience in bookkeeping and purchasing
Comfortable following written instructions yet capable of initiative
Appropriate escalation judgement
Positive attitude and energetic team player, self‐starter, interest in constant development
Interest in Cog\’s work and our clients
Additional useful qualities:
Experience in a creative office/studio environment
Knowledge of arts, cultural, heritage sectors
Experience with Harvest, Xero, Google Apps for Business, Adobe CC
IT troubleshooting knowledge
Salary & BenefitsSalary: around £30K (open to discussion).
Leave: 33 days including Christmas and bank holidays; can buy/sell up to five days each calendar year.
Working hours: Flexible core 10am – 4pm; studio Mon–Wed (Thu/Fri optional).
