Role duration: 1 year. The role of Admin & Office Assistant provides help and support to the administration team with day to day tasks, picking up the transactional duties within the department. The post holder will be responsible for providing efficient and responsive support to admin and office duties at Codethink.
You will be handling incoming phone calls and other communications, greeting clients and visitors as well as managing files, making purchases, updating paperwork and other documents and performing other general office duties and errands as required.
The non-exclusive list of duties outlined below represents the range of tasks that may be required to be undertaken routinely or periodically.
- Greeting clients and visitors as needed
- Handling incoming calls and other communications
- Performing general office clerk duties and errands
- Sorting and distributing deliveries and mail
- International shipping co-ordination
- Organising travel by booking accommodations and reservations needs as required
- Maintaining supply inventory and office equipment as needed
- Helping organise and maintain office common areas
- Handling office tasks such as tidying meeting rooms, supervising and reordering office supplies
- Handling and resolving (where necessary) issues with regards to the facilities
- Support organising events as necessary
- Provide general administrative support
- Managing filing system
- Bookkeeping
- Processing expenses claims and completing the posting process
- Any other reasonable request
