Working for a leading Commercial Property consultancy, the Property Administrator will provide comprehensive administrative and operational support to the Property and Facilities Management team, ensuring the efficient dayâtoâday management of a portfolio of properties. This role plays a key part in lease administration, financial processing, insurance coordination, document control, client reporting, and the coordination of client meetings, delivering a consistently high standard of service to our client.
Key Responsibilities
- Administration & Office Support
- Provide full administrative support, including diary management, correspondence, filing, reporting, and document distribution.
- Maintain accurate and compliant property files, including leases, client reports, and statutory documentation.
- Update and maintain office procedures within the Property Operations Manual as required.
- Lease Administration
- Support lease administration activities, including lease abstraction and maintenance of property databases.
- Ensure tenant, lease, and critical date information is accurate and kept up to date.
- Financial & Arrears Support
- Process invoices in line with established accounting procedures, ensuring correct coding and supporting documentation.
- Raise and submit purchase orders.
- Produce and monitor aged debt reports and assist with arrears management in line with company and client policies.
- Process tenant recharges, including utilities, afterâhours HVAC, and other recoverable costs.
- Compliance & Reporting
- Ensure tenant and vendor Certificates of Insurance are current and compliant, including selfâinsured documentation.
- Assist with annual budget preparation and monthly financial reporting.
- Prepare and circulate collections and aged debt reports.
- Tenant Engagement
- Assist with the preparation of tenant service charge budgets and reconciliation packs.
- Support the creation of tenant handbooks, newsletters, events, and communications.
- Assist with tenant engagement initiatives, including anniversaries, seasonal activities, and training sessions.
Experience
- Minimum of 1 year's experience in property administration, property management, or a related role.
- Commercial experience.
Work Environment
- Office-based professional environment with attendance at client meetings to take minutes.
- Regular use of standard office equipment.
- Hybrid working model.
