Role Overview:
As our Coworking Community Office Assistant, you are the heartbeat of the workspace. Working closely with the Community Manager, you will ensure our members feel supported, inspired, and catered to from the moment they walk through the door. With thoughtfully designed spaces, curated member events, and support that goes beyond the basics, we are here to make every workday better and every goal more achievable. If you have a "no task too small" attitude and an eagle eye for detail, you will fit right in.
Responsibilities
- Member Experience & Community Building: As one of the first points of contact, you will provide a warm greeting to members and guests, checking them in with a high-end and professional customer experience. You will assist members with enquiries, manage meeting room bookings, and help them navigate our premium amenities, ensuring any complex issues are promptly escalated to the Community Manager. Maintain the "premium" feel of the space by ensuring the desks, meeting rooms and communal areas are immaculate and organised throughout the day.
- Operational support: Conduct regular "floor walks" to ensure the workspace is tidy, functional, and meeting our premium brand standards. Monitor office supplies, refreshments and cleaning stock, report to the Manager when replenishment is required, and keep the inventory sheet up to date. Prepare meeting rooms between bookings, ensuring technology is tested and the space is reset for the next user.
- Facilities & Safety: Act as a key link for on-site vendors, such as cleaning and maintenance teams, to ensure any operational issues are resolved quickly. Support the Community Manager with health and safety compliance by performing routine checks and maintaining accurate safety records. Assist with the administration of access control systems, ensuring all members and visitors follow our security protocols.
About You
You are a proactive professional with a "no task too small" attitude and a natural gift for hospitality. You understand that a premium experience is built on the details, from noticing a crooked picture frame to ensuring the sparkling water is always perfectly stocked. You do not wait to be told what to do; you see a gap and fill it with energy and care. Most importantly, you are a clear communicator who genuinely enjoys building relationships with a diverse community of "doers."
Required Skills & Experience:
- Proven experience in a customer-facing or high-end service environment where you have mastered the art of anticipating needs before they are voiced.
- A high level of comfort and fluency with Google Workspace is essential for daily operations.
- Previous experience with Nexudus or similar co-working management software is highly desired but not essential as training will be provided.
- Exceptional attention to detail and the ability to multitask in a fast-paced, professional environment.
Working Hours
This is a core community role requiring a consistent presence during our peak member hours. Monday to Friday 10:00 AM – 6:30 PM
