Job Title

Grade

NHS Af C: Band 6 – Full-time (37.5 hours per week, Monday to Friday). Fixed‑term contract of 24 months (renewable).

Job Overview

CNWL is seeking an experienced Business Manager to support our newly structured Adult ADHD Service at The Kingswood Centre.

The role is full‑time and hybrid, with support and oversight from senior leadership.

Main Duties

  • Oversee continual review and evaluation of all administrative systems and procedures to drive improvements.
  • Ensure ADHD administrators focus on high‑quality patient care and service delivery.
  • Compile, evaluate, and interpret data to guide decision‑making and enhance performance.
  • Create reports on key performance data, identify trends, and provide practical insights for resource management.
  • Maintain clear communication with clinical and administrative teams.

The role reports directly to the Operational Manager and contributes to workforce development, governance, and patient outcomes.

  • Administration Team & Process Management
  • Plan, coordinate, and manage the workload of the administration team, ensuring timely and effective service to clinical teams.
  • Manage rota planning and flexible working arrangements to maintain service cover.
  • Develop and maintain a staffing plan reflecting demand, workforce requirements, and budget.
  • Lead recruitment activity, including vacancy review, interview panels, and induction of new staff.
  • Plan and oversee administrative processes, information requests, and service communications.
  • Continuously review and evaluate administrative systems and procedures for efficiency and quality.
  • Supervise and manage the administrative team, ensuring tasks meet required timescales.
  • Monitor workload pressures and staffing gaps, reallocating work as needed.
  • Ensure clear communication across teams and adjust procedures in response to changing needs.
  • Coordinate patient and carer requests for medical records, ensuring statutory timelines are met.
  • Maintain adequate levels of stationery, office supplies, and clinical equipment.
  • Use service data to monitor operational performance and support decision‑making.
  • Ensure accuracy and timeliness of administrative and performance data.

  • Collect, process, and combine data from Tableau and Systm One to create reports supporting referral management and clinical activity.
  • Oversee and coordinate new assessments, tracking progress toward targets and preparing comprehensive reports.
  • Analyse key metrics such as DNA (Did Not Attend) and clinic cancellation data, producing detailed reports for operational meetings.
  • Ensure accurate collating of clinical statistical data for KPI reporting.
  • Develop automated processes for regular report production to improve efficiency, accuracy, and consistency.
  • Work closely with clinical and operational teams to maintain accurate, relevant, and actionable data.
  • Communicate complex data findings clearly to non‑technical staff.
  • Provide information for Freedom of Information and Access to Records requests.

Person Specification

Education and Qualifications

  • Degree level education or equivalent experience in a specialist area.
  • Previous Experience
  • Project management experience.
  • Experience providing professional guidance on administrative systems and processes.
  • Ability to produce reports and statistical data for senior management.
  • Knowledge of performance management techniques and development plans.
  • Delivery of objectives within a changing environment.
  • Engagement with stakeholders at all levels, including external agencies.
  • Robust decision‑making and independent initiative.
  • Effective communication with service users and carers in a mental health setting.
  • Proficiency in Microsoft Office (Outlook, Power Point, Excel).
  • Experience in an ADHD, healthcare, or similar setting.
  • Knowledge of clinical systems such as Systm One.
  • Audit and statistical analysis experience.
  • Understanding of NHS structure and current issues facing NHS Trusts.
