We are seeking a well‑organised individual to provide general administrative support to the services based across all healthcare departments within HMP Woodhill.

Main Duties

  • Provide general administrative support where required.
  • Distribution of post.
  • Timely processing and response to routine correspondence.
  • Acting as the first point of contact for the prison and external agencies.
  • Ensuring information is processed confidentially and in a timely manner.
  • Providing secretarial support to the wider team.
  • Producing the daily patient movement list (PMMS).
  • Responding to requests for Medical Records within set timescales.
  • Scanning and filing patient records.
  • Supporting the implementation of management information systems.
  • Providing administrative support for the recruitment process.
  • Allocating internal and external appointments.
  • Ordering supplies, including medical and stationery requirements.
  • Liaising with internal and external agencies to ensure routine maintenance of equipment and treatment areas.
  • Providing statistical information and supporting data collection exercises.

Person Specification

Education and Qualifications

  • A good level of general education – at least O level or GCSE standard for English and Maths or equivalent.

Previous Experience

  • Previous office and administrative experience.
  • Experience and knowledge of software programmes.
  • Good written and oral communication skills.
  • Experience of working within an NHS department or secure settings environment.

  • High accuracy and attention to detail.
  • Ability to prioritise and plan workload to meet deadlines.
