This role provides administrative support within a 7‑day week working model, ensuring high‑standard health care for patients in secure environments.
Salary: £27,106 – £28,850 p. a. (plus HCAS fringe benefits pro‑rata if part‑time).
Key Responsibilities
- Provide efficient and effective administrative support to the Healthcare team (primary care, mental health and substance misuse).
- Cover a range of administrative tasks, exercising initiative within broad guidelines, requiring administrative and IT skills.
- Work independently and ensure duties are carried out to a high standard.
- Book and manage internal and external patient appointments, updating records in line with performance targets.
- Prepare and distribute documents (letters, memos, discharge summaries, etc.) using Microsoft Office software.
- Provide telephone reception service, handling calls and correspondence professionally and referring queries to the clinical team.
- Deal with incoming and outgoing correspondence, ensuring timely distribution.
- Support the administration team leader and healthcare teams with meeting coordination, note taking and minute taking.
- Assist with local induction of new employees.
- Liaise with IT and Facilities departments to maintain equipment and supplies.
- Organise requests for medical investigations (blood tests, X‑rays, etc.) and ensure results are available when required.
- Understand health and safety regulations and help maintain a safe environment for clients and visitors.
- Enter and manage data in Systm One, Nebula, Excel and other clinical databases, ensuring accuracy of NHS numbers, addresses and clinical information.
- Process referrals, GP registrations, patient SARs and e‑referral processes.
- Use NHS spine smartcards, GP2GP activities and ordering systems such as Oracle (SBS) for medical and office supplies.
