Working Monday - Friday 09:00 - 17:00. To provide a comprehensive administrative function to the Healthcare team and to work professionally and diplomatically with colleagues, management and staff employed by partner agencies. The post-holder will be expected to work without immediate supervision and to ensure that all duties are carried out to a high standard in liaison with clinical and managerial staff.

Responsibilities include:

  • Identifying administrative problems to the Business and Administration Lead and relevant healthcare leads.
  • Delivering administrative support for meetings, including preparation and distribution of papers, management of calendars and bookings, minute taking, and maintenance of action plans and risk registers.
  • Providing a telephone reception service and dealing with calls, correspondence, and other agencies professionally.
  • Managing outgoing and incoming correspondence efficiently.
  • Providing administrative support to senior management, including diary management, travel arrangements, and event coordination.
  • Maintaining adequate clinical stock and stationery, placing orders on the Trust procurement system.
  • Ensuring information leaflets are up to date and maintaining stocks.

Detailed job description and main responsibilities:

  • Coordinating all aspects of administrative work across services, delegating tasks as appropriate.
  • Managing junior administrative staff, conducting regular supervision and appraisal.
  • Supporting the Business and Administration Lead in ensuring adequate contingency cover for essential tasks.
  • Participating in the development of a local induction programme for new employees.
  • Preparing monthly annual leave returns for Team Manager.
  • Understanding health and safety regulations and assisting in maintaining a safe environment.

Person specification:

EDUCATION and QUALIFICATIONS
  • GCSE or equivalent qualification.
  • NVQ 3 or RSA 3 or equivalent experience.
  • Recognised qualification in computer software (e.g. MS Excel, Word, Access, ECDL).
PREVIOUS EXPERIENCE
  • Experience providing receptionist duties and dealing with the public.
  • Experience working in a health or health-related environment.
SKILLS and KNOWLEDGE
  • Comprehensive knowledge of Microsoft Office software.
  • Numerate and able to provide statistical data clearly and accurately.
  • Effective organisational ability over a wide range of tasks.
  • Ability to work flexibly and prioritise tasks.
  • Confidence to work on own initiative and consult as needed.
  • Ability to work positively in a team and under pressure.
  • Understanding of confidentiality principles and legislative framework.
  • Ability to treat service users with respect and dignity.
  • Able to build constructive relationships using good communication skills.
  • Knowledge of Client Administration Systems.
  • Understanding of health and safety issues and risk assessment processes.
