Reporting to: Lead Executive Assistant
Position Summary
To provide a professional front of office reception services to both employees and guests. To provide administrative support to the Executive Assistant team as required. This role is based in the office 5 days per week. Core working hours 8:45am – 16:45pm
Key Responsibilities
- Greet and welcome guests as they arrive at the London Office, ensuring friendly and speedy hand-off of guests to EAs or colleagues.
- Answer reception telephones, effectively transitioning callers to appropriate contact points.
- Liaison point for London building office entry reception; to effectively and quickly resolve any guest or employee entry issues.
- Manage the presentation of the Reception area and meeting rooms, escalating issues or concerns to facilities to resolve as required.
- Daily check that meeting room and IT equipment is functional, escalating issues or concerns to IT to resolve as required.
- Maintain general issues log in relation to reception and meeting rooms, channel to appropriate areas to resolve as required. Weekly reporting of outstanding issues to Lead EA.
- Manage the reception desk email inbox resolving or channeling issues as required.
- Manage the meeting room diary and scheduling conflicts where necessary. Collate meeting room requirements ensuring needs are met.
- Support the Executive Assistants with admin duties, diary and expense management as required.
- Carry out additional duties as assigned.
- Escalate ongoing concerns to Lead EA or Head of HR.

- Excellent computer skills in Microsoft Office Suite including Word, Excel and Outlook.
- Good interpersonal and communication skills.
- Excellent attention to detail and organisational skills.
- Multitasking and time-management skills, with the ability to prioritise tasks.
- Collaborative and proactive.
- Appropriate knowledge of all relevant regulatory and legal requirements applicable to the position.
