Provide professional front‑of‑office reception services to employees and guests, and administer support to the Executive Assistant team. This role is based in the office five days per week during core hours 8:45am – 4:45pm.

Responsibilities:

  • Greet and welcome guests at the London Office, ensuring a friendly and speedy hand‑off to EAs or colleagues.
  • Answer reception telephones and transition callers to appropriate contacts.
  • Act as liaison for London building entry reception, resolving guest or employee entry issues quickly.
  • Manage the reception area and meeting rooms, escalating issues to Facilities or IT as required.
  • Daily check that meeting rooms and IT equipment are functional; report outstanding issues to Lead EA.
  • Maintain a general issue log for reception and meeting rooms and channel to appropriate areas.
  • Manage the reception desk email inbox, resolving or forwarding issues as needed.
  • Manage the meeting room diary, resolve scheduling conflicts, and collate meeting room requirements.
  • Support Executive Assistants with admin duties, diary and expense management.
  • Carry out additional duties as assigned and escalate ongoing concerns to Lead EA or Head of HR.

Qualifications & Skills:

  • Excellent computer skills in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong interpersonal and communication skills.
  • Excellent attention to detail, organisational, multitasking, and time‑management skills.
  • Ability to prioritise tasks, collaborate and act proactively.
  • Appropriate knowledge of all relevant regulatory and legal requirements applicable to the position.
