About the role

We are looking for a Legal Secretary to join our Real Estate team in Aberdeen to provide a high-quality and efficient secretarial service to Partners, fee-earners and trainee solicitors. Reporting directly to the Office Manager, your focus will be on efficiently managing your own workload and being proactive with the ability to work on your own initiative.

Tasks include, but are not limited to:

  1. Diary management using own initiative to arrange meetings and calls and liaising with other secretaries/external clients
  2. Comprehensive e-mail management – checking, prioritising and summarising e-mails on a daily basis and dealing with correspondence where necessary
  3. Collating documentation for meetings and circulating agendas in advance
  4. Making travel arrangements as required and preparing itineraries
  5. Booking video/calls, meeting rooms and required refreshments, and lunch and dinner reservations
  6. Booking attendance at conferences/seminars (including national and international travel) and organising trip itineraries and logistics
  7. Dealing with all aspects of client and matter opening and dealing with client and matter maintenance matters
  8. Taking a proactive approach to building relationships with clients and their secretaries in a professional manner
  9. Organisation of any team socials and other events as may be required

You will need to be adaptable to change whilst maintaining a professional approach, demonstrating high levels of client care, organisational and time management skills. Ideally, you will have previous experience of working within a busy corporate environment, preferably in the legal sector (with real estate experience) demonstrating a proactive and enthusiastic approach with high levels of IT literacy, superb attention to detail and the ability to learn new systems quickly.
