We are looking for a full-time 50/50 Document Specialist / Document Centre Workflow Coordinator to join our Document Design Centre team. This is a fully remote role with opportunities to develop your professional experience. You will be working with the daytime team and assisting 50% of the time with the department’s workflow needs, maintaining a high level of service which matches customer's expectations.
About The Role
- Consistently deliver high quality services on time, with a focus on responsiveness, client satisfaction, effective client communication and client service orientation.
- Assist in identifying and executing ways to develop and enhance relationships with clients.
- Liaise effectively with the management team as required.
- Handle first line complaints and elevate appropriately.
- Excellent customer service skills.
- Workflow management for the Document Centre.
- Utilising client tools and templates in document preparation as required.
- Technical document troubleshooting support as required within the centre or directly with centre users.
- Adherence to brand guidelines and best practices when preparing documents.
- Producing work product which is of a highly professional standard, consistent in formatting and style.
- Managing and prioritising assigned projects to ensure deadlines and expectations are met.
- Acquire and maintain an in-depth working knowledge of the client’s working environment and business needs.
- Effective project communication and handover between shifts.
- Identifies concerns, risks and conflicts and asks for assistance when required in a timely and constructive manner.
- Responsible for continuing to upgrade work skills by participating in company-offered training and development programs and staying abreast of technology changes relevant to this role.
- Develop an overview on team skills in producing complex documents.
- Must be flexible and responsive to business needs.
- Assist in the collation and preparation of data for monthly reporting.
- Monitor productivity of the team ensuring that any issues are identified.
- Act as a focal point for the team for queries or concerns and elaborate accordingly.
- Ensure adequate staffing is provided for on the shift and liaise with the Document Centre Manager to procure extra resource if necessary.
- Maintain a close working relationship with the Document Centre Manager.
- Other duties as assigned.
Reports to: Shift Team Lead.
Hours of work: 07.30-15.30 (1 hour break).
Location: Remote.
