CMS is currently recruiting multiple Deeds Management Administrators to join our London office. This is a fully office-based role due to the nature of the responsibilities involved.

Reporting Line: You will report directly to the Deeds Manager and be responsible for carrying out all duties in accordance with operational procedures. In the absence of the Deeds Manager, you will take ownership of the service to ensure continuity and efficiency.

About The Role

We are seeking detail-oriented and proactive Deeds Management Administrators to join our team across several UK offices. This role is vital to the smooth operation of our deeds management service and involves working closely with internal stakeholders, clients, and external firms.

You will be responsible for managing physical and electronic documents, maintaining deal rooms, and supporting the wider team with administrative and project-based tasks. In the absence of the Deeds Manager, you will take ownership of the service to ensure continuity and high standards.

  • Reviewing documents electronically and physically
  • Renaming of Scans
  • Uploading documents to work10 and deal rooms
  • Tracking down documents electronically and physically
  • Creating deal rooms
  • Reviewing and sorting existing deal rooms
  • Maintaining deal rooms
  • Maintaining deeds packets in relation to movements
  • Dealing with other firms and clients direct
  • Liaising with partners and fee earners direct
  • Sorting and scheduling deeds into the relevant sections depending on the department
  • Creating packs on Records management system
  • Adding in additional documents to packs
  • Request deeds from or send deeds to offsite storage
  • Checking off and reviewing deeds from other firms
  • Conversion of inventories from other firms
  • Liaising with various Business service departments across the firm
  • Recording time on Carpe Diem
  • Running reports from Records Management system for month reports
  • Undertake project work as directed by fee earner or Deeds Manager
  • Examining deeds for relevant information
  • Ad hoc tasks as required
  • Use various records management systems and software packages
  • Capture and relay to the relevant teams all action points arising from customer feedback and team meetings ensuring continuous improvement to customer standards

  • Must be able to work on own initiative and be well organised, working in a methodical and structured way. Ensuring all aspects of the job is covered each day.
