We are seeking an experienced Client Accounting Team Leader to join our Client Accounting team. In tandem with another Team Leader, you will support the Head of Client Accounting in managing the property management accounts team, ensuring accurate financial reporting, compliance with RICS regulations and client requirements, and delivering exceptional service to internal and external stakeholders. This role is pivotal in managing complex property portfolios (particularly residential but also commercial, and mixed-use) and delivering accurate, timely financial reporting to clients. You will act as a primary point of contact for accounting matters, ensuring compliance with industry standards and regulatory requirements. You will also lead delivery on specific client portfolios, always seeking to engender a culture of continuous improvement within colleagues and stakeholders. We are flexible on location; however, the role requires travel to our Reading office at least one day a week.
Responsibilities
- Working on a specific portfolio of clients, and supporting the wider department as necessary.
- Responsible for excellent client service delivery on a major client, with full support from an established team of accountancy staff.
- Responsible for oversight and delivery of a set of special projects, with specific goals and roadmaps.
Leadership & People Management
- Assist in managing and mentoring the accounts team, fostering a high-performance culture.
- Support recruitment, onboarding, and training of team members.
- Conduct regular performance reviews and provide coaching for development.
- Act as deputy for the Head of Client Accounting when required.
- Oversee preparation and review of service charge accounts and reconciliations.
- Ensure timely and accurate client reporting and compliance with agreements.
- Monitor cash flow, arrears, and client funds compliance.
Compliance & RICS Standards
- Ensure all accounting practices adhere to RICS Client Money Handling Rules and industry standards.
- Maintain robust internal controls and audit readiness.
- Keep up to date with legislative changes affecting property management accounting.
Process Improvement
- Identify and implement efficiencies in accounting processes.
- Support system upgrades and automation initiatives.
Stakeholder Engagement
- Act as a key point of contact for property managers and clients.
- Handle complex queries and resolve issues promptly.
- Act as the principal contact for clients, surveyors, and internal stakeholders.
- Prepare and review monthly, quarterly, and annual financial statements (P&L, balance sheet, cash flow).
- Deliver clear, accurate reports within agreed deadlines.
Service Charge Accounting
- Manage service charge budgets and year-end reconciliations in line with RICS and The Property Institute standards.
Regulatory Compliance
- Ensure adherence to HMRC requirements, including VAT returns and tax reporting.
- Maintain compliance with RICS and industry best practices.
Requirements
- Strong knowledge of property management accounting and service charge legislation.
- Familiarity with RICS and TPI regulations and compliance requirements.
- Experience with property management systems (e.g. Qube, MRI, Tramps). Cluttons principally use TRAMPS.
- Excellent leadership and communication skills.
- Ability to manage deadlines and multiple priorities.
- Experience managing complex portfolios and liaising with multiple stakeholders.
- Part-qualified or qualified accountant (and ACCA/CIMA) desirable but not essential.
