The Role:

As a Project Administrator, you will provide essential administrative support to both staff and clients, ensuring smooth coordination from initial customer enquiries to the completion of works. This role requires excellent organisational skills, strong communication, and the ability to manage multiple tasks efficiently within set timeframes.

Responsibilities of the role:

  • Acting as the first point of contact for client enquiries, providing professional and timely assistance.
  • Ensuring all relevant information is collected at the time of booking, including purchase order details where required.
  • Managing the progression of contracts, from initial bookings through to the production and issue of final reports and certificates within set timeframes.
  • Maintaining and organising electronic filing systems to ensure accurate record-keeping.
  • Liaising with other departments, managers, and directors to meet customer requirements.
  • Raising internal purchase orders and processing client card payments when required.
  • Using and updating internal systems and databases to track project progress.
  • Carrying out ad hoc administrative tasks as needed to support the wider team.

Requirements of the role:

  • Strong Microsoft Office skills including Word, Excel and Outlook.
  • Excellent communication skills, including a professional telephone manner and the ability to handle customer enquiries with confidence and efficiency.
  • An organised and methodical approach to work, with a proactive attitude to problem-solving.
  • High level of attention to detail.
  • Experience of dealing with multiple stakeholders.
  • Report writing skills an advantage.
