Our client is seeking an Accounts and Office Administrator to work in a manufacturing company based in Fareham. This role would suit either an experienced accounts administrator or someone seeking an entry level role. This role is a key part of the front office and accounts team, in which you will be responsible for the accurate processing of invoices from our suppliers, working closely with the purchasing team to address any queries. HR and office administration also form part of this role.
Responsibilities of the role:
- Inputting supplier invoices on our MRP system or accounts package as required in a timely manner to ensure the Finance team can complete supplier payment runs to meet our supplier payment terms.
- Checking and reconciling supplier statements and resolving any invoice queries, liaising with other departments to ensure queries are cleared in a timely manner.
- Scanning, filing and archiving documents following accounting principles.
- Chasing copy of invoices including pro-forma invoices and credit card transactions.
- Researching and resolving accounts payable issues with suppliers.
- Responding to queries on a daily basis and building up good relationships with suppliers.
- Organising the reception area, greeting and announcing visitors, following visitor protocols, including organising lunches and drinks as necessary.
- Assisting staff and visitors with any overall and ESD safety queries, HR and office related requests.
- Dealing with internal and external email and telephone queries.
- Taking phone calls from staff and reporting absences to the relevant managers, team leaders & HR.
- Dealing with weekly ordering for the company.
- Arranging catering for meetings.
- Organising uniform and PPE.
- Ensuring canteen refreshments and vending machines are topped up daily.
- Assistance with HR administration relating to attendance, holidays and temporary staff.
- General office administration.
Requirements of the role:
- GCSE English and Mathematics.
- Previous reception, office and accounts experience (preferred).
- Excellent communicator, written and verbal at all levels.
- Proficient in Microsoft Office.
- Integrity and professionalism.
- Attention to detail.
- Motivated and able to work under own initiative.
- Good time management skills.
- Experience of working with an MRP (desirable but not essential).
- Experience of Sage Line 50 (desirable but not essential).
