As an Operations Assistant, you will have the opportunity to learn, grow, and make an immediate impact by serving as a strategic operational anchor to the Head of Lending and Chief Commercial Officer. This highly critical, internally focused role bridges the gap between deep data systems and active floor execution.
The primary objective of this role is to manage CRM and data integration, rigorously clean sales datasets, and eliminate pipeline friction. By maintaining a flawless data ecosystem, you will ensure a rapid turnaround time for pushing correct, relevant, and time-triggered tasks directly into the sales pods. You will work hand-in-hand with frontline sales team members to understand their day-to-day data and reporting requirements, providing them with the exact visibility needed to drive portfolio monetisation, maximise floor time, and hit growth targets based on real-time business needs.
Key Responsibilities- Data Hygiene, Auditing & KPI Reporting
- Bespoke CRM Management: Take ownership of data integrity within our bespoke internal CRM, leveraging legacy platform principles (such as Salesforce) to keep system infrastructure clean
- Duplicate Profile Resolution: Systematically identify, audit, and merge duplicate merchant records across the database to eliminate fragmented communication and clean up sales workspaces
- Custom Sales Reporting & Tracking: Partner directly with sales team members to understand the specific reporting views they need; compile and deliver actionable analytics to floor staff and leadership
- CRM Note Enforcement: Continuously monitor note-logging behaviors to ensure all team interactions are tracked at the active Lead/Deal level rather than the general Merchant tab, protecting the accuracy of corporate sales reports
- Slippage Report Auditing: Deeply interrogate comprehensive floor slippage reports across all operational touchpoints to diagnose precise friction points and prevent deal leakage
- Daily Floor Task Pushes: Harvest stalling or unengaged data from the CRM and translate it into relevant, actionable, time-triggered tasks pushed directly to the sales pods daily to optimize turnaround times
- Accountability Enforcement: Project stagnant files back to primary closers under strict engagement rules (such as 24/48-hour trigger parameters) to force immediate floor intervention
- CRM & Database Administration Experience: Minimum of 1–2 years of experience managing, auditing, or administering data within a major enterprise CRM (such as Salesforce, HubSpot, or Microsoft Dynamics)
- Bespoke System Adaptability: Proven track record of quickly mastering, navigating, and optimizing proprietary or bespoke internal databases and software platforms rather than relying solely on out-of-the-box software
- Data Cleansing & Hygiene Expertise: Direct experience identifying, merging, and deduplicating fragmented data profiles, handling data integration tasks, and managing system note-logging governance
- Sales Operations or Pipeline Auditing Background: Experience working closely with high-volume sales teams to extract, monitor, and interpret pipeline metrics (such as time-in-stage, turn-around times, and slippage triggers)
- Commercial Financial Literacy (Preferred): A foundational understanding of small-to-medium enterprise (SME) funding structures, including an awareness of commercial loans, lines of credit, and facility amortisation schedules
- Stakeholder Collaboration: Demonstrated ability to work alongside both executive leadership (Head of Lending/CCO) to deliver high-level reporting and frontline sales staff to understand their daily operational task requirements
- Prior experience in a sales administration, operations, or executive assistant role.
