We're seeking an organised, proactive and friendly HR Administrator to keep the HR function running smoothly, deliver an exceptional employee experience, and provide the operational foundation that enables our team to scale.

This is an excellent entry point into HR within a fast-paced, scaling tech company. As HR Administrator, you will be the operational engine that keeps the HR function running smoothly, ensuring accurate records, coordinating key processes, supporting employee benefits administration, and providing a reliable, friendly first point of contact for employees and managers. Reporting to the Director of HR, and working closely with the HR People Partner, you will take clear ownership of the administrative workload that underpins the HR function, from issuing contracts and managing the onboarding process, to maintaining BambooHR and supporting the Go1 learning platform. You will also provide ad hoc support to the wider Operations team as needed. This role is ideal for someone with 1–2 years of HR or office administration experience, or a recent graduate with a strong interest in building an HR career. There is a clear path to grow into a more senior HR role over time. The Operations team works in person at Belfast HQ at least one day per week.

Key Responsibilities:

  • Issue contracts to new hires accurately and in a timely manner.
  • Add new starters to BambooHR and ensure all employee records are complete and accurate from day one.
  • Liaise with AspenHR to ensure accurate onboarding and compliance for US employees.
  • Coordinate the onboarding process; working with the HR People Partner to ensure a smooth, well-organised new starter experience.
  • Manage the reference process and coordinate Zinc background checks for new hires.
  • Organise induction logistics, working with the HR People Partner who will conduct the inductions.
  • Liaise with IT, Finance, and line managers to ensure new starters are set up and ready from day one.
  • Coordinate all leaver administration: produce leaver correspondence, update BambooHR, and manage system access deactivation coordination.
  • Remove leavers from benefits platforms and ensure providers are notified promptly.
  • Support the HR People Partner with exit interview logistics.
  • Maintain accurate, up-to-date employee records in BambooHR in compliance with GDPR at all times.
  • Process employee variation to terms: contract amendments, salary updates, and personal detail changes, promptly and accurately.
  • Conduct regular data quality checks and flag discrepancies appropriately.
  • Support data exports and reporting for payroll, audits, and statutory returns.
  • Process benefits enrolments and removals for new starters and leavers across all regions.
  • Check benefits invoices against current employee records and flag discrepancies for review.
  • Act as the first point of contact for routine employee benefits queries, escalating complex questions as appropriate.
  • Participate in benefits review discussions as a supporting member of the HR team.
  • Carry out administrative tasks in relation to any compensation changes.
  • Coordinate the end-to-end probation process: send review reminders to managers and employees, track completion, issue outcome letters, and flag any concerns to the HR Director and HR People Partner.
  • Manage the Go1 learning platform: add new employees, assign learning, and track completions to ensure compliance with required training.
  • Maintain accurate records of all training completions and flag outstanding items.
  • Provide first-line HR support to employees: triage queries and direct to the right person where needed.
  • Draft and issue standard HR correspondence: offer letters, reference letters, contract amendments, and confirmation letters.
  • Support payroll preparation by collecting, checking, and submitting employee data changes accurately and on time.
  • Assist with the preparation of statutory reports and audit documentation as directed.
  • Provide ad hoc administrative support to the wider Operations team as needed.
  • Contribute to HR team projects and process improvement initiatives.

Required Experience, Qualities & Skills:

  • 1–2 years' experience in an HR administration or office administration role, or a recent HR-related graduate with a strong motivation to build a career in HR.
  • CIPD Level 3 qualified or actively working towards it (desirable, not essential).
  • A positive, confident individual, ready to champion and build on Cloudsmith’s culture and values.
  • Ability to use initiative to continually improve systems, processes and ways of working, in line with one of our core Taos - Just Better.
  • Exceptionally well organised, with outstanding attention to detail – you spot errors before they become problems.
  • Proactive and self-motivated: you take ownership of tasks and see them through.
  • Strong written communication skills: professional, clear, and well-presented in all correspondence.
  • Discreet and trustworthy; you understand the sensitivity of what you handle and act accordingly.
  • Strong IT skills, including Google Workspace; comfortable on Mac and using Slack.
  • Familiarity with HRIS platforms is an advantage; BambooHR experience a bonus.
  • Comfortable working in a fast-paced, hybrid environment and supporting across multiple workstreams simultaneously.
